    Position Summary

    The Office Manager position is full-time, 40 hours per week (non-exempt, benefits available) and will primarily take place at our Little Village, Humboldt Park, or Midway location. The Office Manager will perform key administrative related tasks that include coordination and logistics of building schedule for activities and events, maintaining up-to-date programming schedules and calendars, maintaining inventory of office supplies, connecting building guests and program participants and families to appropriate program staff, and assisting with administration of off-site programming as needed. May require some local travel (reimbursable). Pay commensurate with experience. This position is in-person.

    Job Responsibilities

    • Maintains a clean, safe office space.
    • Orders office supplies as needed.
    • Assists with program supply procurement as needed.
    • Assists with transportation coordination, logistics for hosting program events/meetings/trainings.
    • Responsible for set-up/tear-down of space for meetings/trainings/events as requested.
    • Manages mileage reimbursement process for NLC vehicles.
    • Is responsive to transportation and room reservation requests in a timely manner.
    • Assures all NLC vehicles are maintained and leads coordination of maintenance schedule.
    • Delegates maintenance of NLC vehicles to appropriate person (people).
    • Manages program ticket distribution/reporting to appropriate funders (as needed).
    • Assists the Executive Director with credit card reporting.
    • Provides accurate communications to partners as needed.
    • Communicates resource information and cross-site operations communications with Supervisors as needed.
    • Provides a welcoming atmosphere and attitude of hospitality to NLC guests.
    • Fields incoming phone calls/faxes and directs questions to appropriate staff.
    • Assists the Development team with administrative needs for the annual 5k, and other events as needed.
    • Assists with Little League registration and systems for registration.
    • With Volunteer Coordinator, assists with volunteer background checks.
    • Works with team to identify and address safety concerns and create a plan for long term safety and well-being.
    • Maintains accuracy of budget and spending plan and assures team is spending on target.
    • Participates in required evaluations and audits.
    • Demonstrates New Life Centers' values.
    • Attends required meetings and trainings.
    • Other duties as assigned by the Supervisor.

    Skills & Qualifications

    • Must become a Certified Mandated Reporter. Training provided.
    • Must pass a background check, must not have any pending cases.
    • Must pass a Child Abuse and Neglect Tracking System background check.
    • Must pass a National Sex Offender Registry background check.
    • Must have a working phone and phone number.
    • One year experience working in the human services field or hospitality.
    • Cross-cultural competency.
    • Ability to communicate effectively both written and verbally.
    • Proficient in Microsoft Word and Excel.
    • Must be willing to be trained, and proficiently utilize database(s) and information tracking systems relevant to duties.
    • Must keep confidentiality of participant/staff/volunteer information.
    • Ability to establish and maintain effective working relationships with others.
    • Valid Illinois driver's license, insurance, good driving record, access to a vehicle. Subject to driving background check.
    • Bilingual English/Spanish preferred but not required.
