    Job description:

    • Temporary position with the possibility of transferring into a full time position.
    • Schedule and coordinate staff and other meetings
    • Prepare communications, such as memos, emails, invoices, reports, and other correspondence.
    • Write and edit documents from letters to reports and instructional documents
    • Create and maintain filing systems, both electronic and physical
    • Handle inquiries from employees and visitors via phone, email, and general correspondence
    • Ensure messages are passed to the appropriate staff members timely
    • Receive, sort, distribute and dispatch daily mail (not limited to UPS, Amazon, FedEx, USPS)
    • Knowledge of using company equipment (scan, print, copy, and fax as needed)
    • Manage office inventory such as general supplies, equipment, and furniture
    • Perform ad hoc administrative duties and support the Executive Assistant as needed
    Requirements

    Qualifications
    • Excellent time management skills and the ability to prioritize work
    • Attention to detail and problem-solving skills
    • Excellent written and verbal communication skills
    • Strong organizational skills with the ability to multi-task
    • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
    • Knowledge of appropriate software including Microsoft Word, Excel, Outlook, Microsoft PowerPoint, and Adobe Acrobat
    • Decision-making skills

    • Optimize office operations and oversee internal processes, supplies, and equipment
    • Nurture relationships and uphold best practices
    • Generate a positive impression of our business by welcoming visitors, responding to requests, and supporting coworkers
    • Encourage efficient scheduling, workflows, communications, and office operations on a daily basis
    • Recognize issues requiring immediate attention, and communicate to leadership any deviations from standard operating procedure
