    Description

    Primary Purpose:

  • Assist the Senior Director of Head Start in the operations of the Head Start program and perform administrative duties for the Head Start office
  • Qualifications:

    Education/Certification:

  • High school diploma or GED certificate, some college preferred
  • Special Knowledge/Skills:

  • Ability to communicate effectively (verbal and written) using proper English
  • Ability to effectively utilize computers and a variety of software programs, including Word, Excel, PowerPoint, and Access
  • Ability to work with numbers in a rapid and accurate manner
  • Ability to organize, prioritize and meet established deadlines
  • Ability to maintain well organized and accurate records
  • Strong organizational, interpersonal, and analytical skills
  • Experience:

  • Four years experience in a clerical or administrative support position
  • Experience with accounts payable, payroll, and budgets
  • Major Responsibilities and Duties:

  • Model HCDE and Head Start's mission, vision, and values.
  • Provide administrative assistance to the Senior Director and support the daily operations of Head Start including preparations for meetings and the coordination of communications with other divisions, groups and individuals.
  • Assist the Senior Director in the submission of HCDE board agenda items.
  • Assist the Senior Director in the planning and preparation of budgets.
  • Prepare division contracts and Memorandums of Understanding.
  • Coordinate and attend Policy Council Meetings and support the Head Start Policy Council members in the execution of their duties.
  • Prepare and post all meeting agendas, meeting packets, and minutes of the Head Start Policy Council in compliance with procedures.
  • Track and report Procurement card (P-card) purchases made by the division to Purchasing.
  • Track, report, and verify attendance for division's administrative personnel.
  • Coordinate all travel arrangements and conference registrations for the Senior Director.
  • Maintain good public relations with department personnel, clients and the public.
  • Assist parents and clients as needed.
  • Maintain confidentiality of information.
  • Perform other duties as assigned.
