    Executive Assistant/Personal Assistant - Doral, United States - Segrera Associates

    Description

    Seeking an Executive/Personal Assistant with exprience providing comprehensive support to Executives and at ease assisting with personal matters related to family and home remodeling projects. The ideal candidate is polished, dynamic, has the ability to anticipate needs and works with a sense of urgency while maintaining a high level of professionalism and confidentiality. This is a full-time position with benefits and will require working onsite and also offsite

    Key Responsibilities:

    • Provide sophisticated calendar management; make judgements and recommendations as needed. This will include, but is not limited to, in-person meetings, video-conferences, travel arrangements (private and commercial), visa requirements and other matters.
    • Maintain filing system for easy retrieval of physical or electronic documents.
    • Light accounting-related tasks.
    • Project management and serving as gatekeeper.
    • Build and maintain relationship with internal and external contacts for business and personal as needed.
    • Manage expenses and keep detailed logs.
    • Event management - organize parties and events
    • Experience serving as liaison with contractors or third parties involved in special projects for Executive's home.
    • Review correspondence and escalate accordingly.
    • Other administrative tasks/projects/duties as assigned and occasional errands outside the office.

    Qualifications:

    • Bachelor degree in Business Administration preferred but not a must
    • 4+ years of experience simultaneously supporting xecutives, ideally in a fast-paced or startup environment.
    • Strong ability to take ownership and execute projects.
    • Ability to work well both on a team and also as an independent contributor.
    • Strong sense of urgency and at ease working in a fast-paced environment.
    • Strong problem resolution, negotiation and closing skills.
    • High attention to detail.
    • Ability to multi-task and prioritize multiple time-sensitive deadlines.
    • Strong verbal and written communication skills.
    • Strong customer service skills and high level of professionalism and confidentiality.
    • Excellent judgement is key as well as ability to respond quickly to situations that require quick turnaround.
