    Join our team as an ICON Solutions Administrative Coordinator

    The ICON Solutions Administrative Coordinator is responsible for assisting the ICON Service team with ICON content and administrative task.

    Responsibilities include creating quotes, orders, deliveries; post good issues (PGI), invoicing, organize and maintain project reports and ICON subscription contracts.

    The ICON Solutions Administrator serves as point of contact for internal ICON service work orders and related services. The candidate will perform complex data organizing from various sources, web-based data input, review, analysis, and reporting. Strong proof reading and writing skills are essential to assist the department with daily projects and report completions.

    Communications with the team members and customers will occur through various platforms such as VoIP, mobile, internet, online chat, video, and email.

    Responsibilities


    Essential Duties and Responsibilities:

    • Maintain and organize content using various systems to keep files in order, including DocuSign, email systems, MS SharePoint, and other MQ document filing systems.
    • Responsible for reporting customer contact information within MQ content management system, SAP, Field Aware, and SysAid Helpdesk.
    • Responsible for monitoring both internal and external campaigns, producing comprehensive reports for department management.
    • Proactive customer interaction is a key element, including organizing meetings, assisting with shipments, and coordinating various office duties.
    • Create shipment labels, schedule shipments, arrange pickup and delivery for special request.
    • Coordinate ICON subscription contract renewals through Field Aware and DocuSign.
    • Track and maintain ICON service bulletin and instructional distributions.
    • Assist with creation of ICON service-related documentation.
    • Works with office departments providing clerical support for special projects.
    • Runs reports as needed.
    • Compliance with all departmental and company-wide policies and procedures
    • Performs other duties as assigned.
    Qualifications


    Education and/or Work Experience Requirements:
    Education


    High School Degree; and 3+ years of exceptional customer service experience with one to two years of office administrative experience highly preferred.


    Skills And Abilities:

    • Knowledge of SAP data management software a plus
    • Outstanding listening, written, and verbal communication skills; Thoroughness and attention to detail.
    • Computer literate: Microsoft Windows, SharePoint, Office (Outlook, Word, and Excel primarily)
    • Ability to work independently, handle sensitive information with trustworthiness and integrity, and maintain meticulous attention to detail is essential.
    • Ability to multi-task effectively and with a sense of urgency
    • Ability to read and interpret documents such as rules, operating and maintenance instructions, manuals, and diagrams.

    Physical Requirements:
    Physical demand: 8-hour days consist of sitting/phones - talking/hearing - reading/writing - typing/computer.

    • Base pay range of $20.00-$25.00/hour
