    Thompson Thrift is seeking an Executive Assistant to work out of our corporate office in Indianapolis, IN.

    This role (Executive Assistant I) is primary support to CEO's Executive Assistant II, business and potentially some personal needs as well as support members of the Thompson Thrift executive team and high-level senior managers and perform a variety of executive assistant responsibilities.


    A high level of business acumen along with enthusiasm, poise, diplomacy, high level discretion and confidentiality, professionalism, and excellent communication skills are required.

    An executive assistant with Thompson Thrift will display a team player attitude with the drive and ability to take on additional responsibilities and seek new opportunities and solutions to assist our executives and the growth of our organization.


    Duties & Responsibilities:

    • Receive incoming calls, take detailed messages, and respond appropriately on executive's behalf.
    • Greet visitors and assist them appropriately on executive's behalf.
    • May be asked to sit on TT Christmas Party Planning Committee; assist with planning and execution.
    • Manage and coordinate meeting materials for TT Holdings Company Board of Directors' meetings.
    • Support TT foundation team members (Director of Philanthropy).
    • Assist Legal department with project closing/purchasing documents in document execution.
    • Assist Accounting as needed / Tax Director as needed.
    • Management of Advisory Board when established.
    • Available via text, phone calls, emails as needed.
    • Print out all documents for Executive Team and Investment Committee Meetings.
    • Assists with TT Serve as needed.
    • Provide assistance to Sr Executive Team.
    • Manage all publications.
    • Organize as directed/required.
    • Manage all documents for minute books for 3 holding companies, TTC, TTD for Executive Director/Board Member.
    • Code and submit for payment invoices once approved.
    • Blocking and ordering lunch las needed.
    • Assist with managing travel arrangements.
    • All trips entered TripIt for Executive Director/Board Member.
    • Management of Advisory Board when established.

    Qualifications:

    • 6+ years of experience in a similar high-level support role.
    • Professional ambassador of the Executive Team.
    • Highest level of confidentiality.
    • Ability to anticipate needs of leadership.
    • Excellent interpersonal, organizational, verbal and written communication, proofreading, and editing skills.
    • Displays honesty, integrity, innovative and strategic thinking, accuracy, timeliness, and tactical excellence.
    • Committed to providing exceptional customer service to internal management and team members as well as external investors, clients, community leaders, suppliers, and other business partners.
    • Exceptional knowledge of computers, MS Office Suite 365, and administrative, clerical, and executive procedures. Concur Travel and Expense and Yardi experience preferred.
    • Ability to work under pressure, manage multiple priorities simultaneously while maintaining the utmost confidentiality and discretion.
    • Must be extremely meticulous with proven success at taking direction from multiple executives and working independently with minimal supervision.
    • An ability to "think outside the box" and make suggestions and propose solutions on company, office, or policy related matters.
    • Provides leadership, coaching, and/or mentoring to other executive and administrative assistants.
    • Will provide back-up to other executive assistants and/or office managers.
    • Ability and willingness to provide personal assistance as required.

    The employee is regularly required to be mobile and the employee occasionally travels both short and long distances via a variety of conveyances.

    The employee occasionally performs work on-site at construction work sites, office locations, and/or off-site venues.

    Performing this job will sometimes require the employee to walk work sites that do not have infrastructure, this includes walking on uneven surfaces, through mud, through ruts, etc.

    The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.

    While performing the duties of this job, the employee may occasionally work at construction work sites where the employee is exposed to moving mechanical parts, high precarious places, fumes or airborne particles, outside weather conditions, and the risk of electrical shock.

    The noise in the construction work environment is usually moderate to loud. The employee is required to work in compliance with company safety policies, procedures, and applicable laws.
