- Manage calendars to ensure efficiency and prioritization of leadership meetings. Prepare and process expense reports, make travel accommodations (flight, hotel, and transportation) and dining reservations, prepare itineraries. Ability to anticipate the needs of the leaders and resolve logistical issues quickly and effectively.
- Process and appropriately route telephone calls, interoffice mail, external correspondence, and electronic mail including replying to and creating communications in response to customer inquiries. Actively manage organizational contact lists.
- Researches, prioritizes and follow up on incoming issues and concerns addressed to the President, including those of a confidential and sensitive nature.
- Perform clerical and administrative tasks including drafting letters, memos, invoices, reports and other documents for the senior staff.
- Develop, maintain, organize, and store departmental documents such as organizational charts, job descriptions, meeting agenda and financial reports.
- Develop, proofread and disseminate organizational communications. Proactively manages and updates information on organizational SharePoint sites.
- Provide accurate and timely PowerPoint decks for leadership. In addition, can construct decks from slides, process edits as requested, coordinate work across team members for presentations, prepare materials for deadlines and possess advanced capabilities in PowerPoint editing and presentation.
- Gathers information and develop talking points for leadership meetings, pulling content into concise and visually appealing PowerPoint presentations.
- Frequent contact with senior levels of Kohler Energy, including executives, Business Presidents, administrative support throughout the businesses as well as other Kohler Energy business units.
- Occasional contact with external businesses regarding appointments, reservations, etc.
- Occasional contact with customers, vendors, and consultants.
- The ideal candidate is a self-starter, focused on accuracy and flexible.
- Candidate must have very strong interpersonal skills with the ability to interact with all levels of leadership
- Ability to function well in a high-paced and at times stressful environment
- Must be proficient in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel, Teams, SharePoint) or similar software with the ability to learn new or updated software
