- Collaborate with the Base team to conceptualize, plan, and coordinate a diverse range of events that align with the needs and interests of our member community.
- Manage vendor relations and event logistics, including event setup checklists for venue setup, equipment rental, catering arrangements, et al. to ensure smooth and successful event execution.
- Update event budgets, track expenses, and negotiate with vendors and partners to ensure cost-effective execution.
- Create event description and any necessary signage, collateral, and branded material.
- Communicate effectively with event stakeholders, including Base members, external partners, sponsors, et al.
- Oversee event support contractors, greeters, et al.
- As needed, provide on-site support during events, overseeing event setup, registration, and attendee assistance, to ensure a positive and memorable experience for all participants.
- Leverage member feedback to continuously improve the quality of our events and the caliber of partner relations.
- 5+ years experience in event planning, coordination, or management, preferably in a similar role or within hospitality, membership communities/clubs, event companies, or the co-working industry.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities simultaneously in a fast-paced environment.
- Excellent communication and interpersonal abilities, with a customer-centric approach and the capacity to build relationships with diverse stakeholders.
- Proficiency in event management software, project management tools, and productivity software (for instance, Microsoft Office, Google Suite) to streamline event planning processes and workflows.
- Flexibility to work evenings and weekends as needed, based on event schedules and requirements.
- A passion for creating engaging and memorable event experiences, coupled with a proactive attitude and a willingness to take initiative in driving event success.
- Preferred: A degree or certification in event management or a related field, though not mandatory. Relevant work experience and demonstrated skills will also be considered.
