    JOB SUMMARY:


    The Medical Assistant Manager will be responsible for providing high level of customer service in a manner consistent with our mission and goals, be administrative support to ensure efficient operation of the clinic.

    As the Medical Assistant Manager, you should support medical assistant staff, doctors, and patients through a variety of tasks related to patient care management, organization, and communication.

    The target is to complete all activities accurately, with high quality and in a timely manner.

    ESSENTIAL JOB RESPONSIBILITIES
    :


    • Spot checking
    • Immunization inventory
    • Facilitate order of supplies/vaccines with appropriate medical assistant leads
    • Facilitating training new medical assistants and externs with medical assistant leads
    • Teaching and mentoring current employees.
    • Provide back up support for the medical assistants, leads, and managers as needed.
    • Fulfills clerical responsibilities as assigned.
    • Fulfills environmental responsibilities as assigned that may include training staff for setting up instruments and equipment according to department protocols; spot checking exam/procedure rooms, instruments, and equipment between patient visits to maintain infection control; cleaning sterilizer according to scheduled maintenance program and keeping appropriate records; ordering, sorting, storing supplies; and restocking exam/ procedure rooms.
    • Fulfills organizational responsibilities as assigned including promoting patient rights; sharing problems relating to patients and/or staff and service recovery.
    • Provides patients information on expected call back times based on clinic protocols.
    • Organize and Promote team-based care with-in the organization.
    • Incorporates the 5 Must Haves of Service Excellence (AIDET) (Acknowledge, Introduce, Duration, Explanation, Thank you) into all patient and customer interactions and staff training.
    • Provides accurate and consistent practice policies and procedures to patients and medical assistant staff.
    • Attendance, promptness, professionalism, the ability to pay attention to detail, cooperativeness with co-workers and supervisors, and politeness to customers, vendors, and patients.
    • Maintains the strictest confidentiality in accordance with all relevant HIPAA rules/regulations and office policy and procedures.
    • Facilitates trainings, meetings, and courses as required.
    • Other duties or special projects as assigned.

    SUPERVISORY RESPONSIBILITIES
    :


    • Train, evaluate and observe current and new employees.
    • Oversee timecards, approve/deny time off requests.
    • Facilitate weekly schedules for medical assistant staff.

    OTHER RESPONSIBILITIES
    :


    Must possess current health records with the appropriate immunizations to work in the health care field and should possess a current CPR certification.


    EDUCATION
    :

    High school diploma or equivalent and current certification or diploma as a medical assistant.
    RN/LVN Degree is recommended.

    EXPERIENCE
    :


    Minimum one year of recent experience working in a medical facility as a medical assistant and/or documented evidence of externship completed in a medical office.

    Pediatric experience preferred. Electrocardiogram (EKG), vital signs, venipuncture, capillary, and injection current experience.

    PERFORMANCE REQUIREMENTS
    :

    Knowledge :


    • Knowledge of clinics employee guidelines and policies & procedures.
    • Knowledge of healthcare field, medical terminology, and organization services.
    • Knowledge of office management techniques and practices
    • Knowledge of information that must be conveyed to patients and families.
    Skills :


    • Skill in performing medical assistance tasks appropriately.
    • Ability to provide written and verbal communication.
    • Skill in providing internal and external customer service, both in person and over the telephone.
    • Skilled in prioritizing, time management and attention to detail.
    • Skill and knowledge of Microsoft Office (Word, Excel, Power Point, Outlook), Electronic Health Record and Practice Management system, and utilization of other standard software programs and applications preferred.

    • Ability to use multi-line phone system, including transferring calls.
    • Promptly and professionally answer phone and speak with patients.
    • Ability to speak clearly and loudly enough to be heard by callers and patients.
    • Ability to learn and retain information regarding patient care procedures.
    • Ability to prevent, calm, or defuse irate callers and patients by working with them to identify concerns and properly directs calls.
    • Ability to establish and maintain effective working relationships with other employees and the public.
    • Ability to plan, prioritize and completes delegated tasks.
    • Ability to work at a high professional level, including self-motivation and self-discipline, assuring that work is completed accurately, efficiently and without significant supervision.

    EQUIPMENT OPERATED
    :

    Standard office equipment including computers, copier/fax machines, printers, scanners, mail machines and telephones, etc.

    MENTAL PHYSICAL REQUIREMENTS
    :


    Must be able to use appropriate body mechanics techniques when making necessary patient transfers and helping patients with walking, dressing, etc.

    Must be able to lift up to 30 pounds of supplies. Occasional stress from workload. Requires adequate hearing & vision.
