    Job Summary:

    Interstate is expanding its team and seeking a versatile Operations Coordinator/Administrative Specialist to contribute to our daily business operations.

    This role is pivotal in coordinating daily business activities, scheduling, customer service, and administrative tasks. The ideal candidate will ensure efficient workflow, excellent customer service, and optimal service delivery.


    Duties and Responsibilities:
    Coordinate and schedule the workload for field teams and field crews when needed, ensuring timely deployment and task completion.
    Dispatch teams and crews to customer locations, monitor job progress, and resolve issues promptly.
    Provide exceptional customer service, promptly addressing inquiries, resolving issues, and ensuring satisfaction.
    Generate and process invoices accurately and in a timely manner, adhering to company policies.
    Maintain records of customer interactions, services performed, and invoicing details.
    Maintain and update field service software by entering data records, updating service agreements, purchase orders, and reviewing work orders.
    Liaise with clients to determine service requirements and schedule appointments.
    Provide administrative support, including managing correspondence, organizing files, and maintaining supplies.
    Collaborate with internal teams to streamline processes and improve efficiency.
    Support the sales team by providing customer feedback and assisting with acquisition initiatives. Requirements2-4 years of experience in field service support, customer service, or operational scheduling.
    Strong organizational and time management skills.
    Excellent communication and interpersonal abilities.
    Proficiency in Microsoft Office Suite and operational knowledge of scheduling software.
    Ability to multitask and prioritize effectively.
    Experience with invoicing and basic accounting principles preferred.
    Capacity to work independently and as part of a team.
    Must be present during working hours, as this is not a remote position.
