- Calendar Management: Manage calendars for the C-suite coordinate all meetings including but not limited to team meetings, offsite meetings including customer, partner, investor, media and analyst meetings across multiple time zones.
- Travel Arrangements: Organize business travel including booking flights, hotels, and ground transportation.
- Communication Management: Handle incoming calls, emails, and other communications on behalf of the executive team
- Time Management: Assist the executives in prioritizing tasks and managing their time effectively to ensure they focus on strategic responsibilities. Own and help manage the rhythm of the business in close partnership with the executives and teams, including agenda management, notes, budgets, and follow-ups on action items.
- Administrative Tasks: Maintain and organize files and records, send contracts for signatures via DocuSign, and other important documents.
- Expense Management: Track and manage the expenses of the executives.
- Event Planning: Plan and organize corporate events, executive retreats, and other special occasions. This will include coordinating logistics, catering, AV equipment, managing invitations, and overseeing the event until completion.
- Take ownership of requests and delegated actions in a swift, professional manner while keeping relevant stakeholders updated.
- Bachelor's degree in Business Administration or a related field preferred.
- 3-5 years of experience as an Executive Assistant supporting C-Level executives required.
- Minimum of 1-2 years of previous experience business administration, preferably in Construction or Homebuilding.
- Strong verbal and written communication skills.
- Current working knowledge of homebuilding and the residential real estate industry preferred.
- Proficient in Microsoft applications, with advanced proficiency in Excel & PowerPoint preferred.
- Strong organizational skills, including multitasking and time-management.
- Demonstrated high level of operational intelligence and integrity. Self-motivated, with demonstrated ability to problem-solve and think independently.

Overview:
The Executive Assistant will work closely with the People and Culture team, to support Trumark's C-Suite. Reporting directly to the Manager of People and Culture, the Executive Assistant must have exceptional people skills and experienced EA who enjoys solving complex problems and is motivated by flawless execution and excels in behind-the-scenes supporting roles. This position will require minimal travel to the Division locations in California & Colorado.
