    The Healthcare Division - Program Manager A - provides administrative programmatic support, coordinates, and supports daily operations for healthcare pathways/programs. The Program Manager collaborates with administration, students, faculty, and staff to achieve the goals and objectives of the division and college through administrative duties.

    Essential Functions
    • Provides programing support to division administrator and program directors/associate dean.
      • Schedule meetings as necessary for management of programs
      • Coordinate arrangements for internal and external meetings, including room and meal arrangements, materials, preparation and post-meeting material distribution and follow-up.
      • Compile and transform data to create reports from ctcLink query results.
      • Track student paperwork/complaints documenting division processes.
      • Supports direct reports with centralized communication for program(s)
      • Assist with the management division SharePoint Site
      • Management and delegation of program quarterly operations, e.g., program scheduling, collaborative meetings, accreditation reports, data tracking, etc.
  • Assists in devising unit standards/procedures to ensure adherence to policies. Prepares and maintains administrative and business reports and records.
    • Ensure compliance with instruction policies, procedures, and CBAs.
    • Interprets, advises, and implements institution policies and procedures related to healthcare programs.
    • Advise Dean, administrators, faculty, and staff on policies and procedures.
    • Modify workflow processes to achieve efficient use of space, equipment, and personnel.
    • Create and update office procedures and desk aids.
    • Maintain division specific forms and publications.
    • Support administrator and faculty with programmatic documents for accreditation, regulation, etc.
    • Collect, track, and maintain data for accreditation and regulatory requirements for healthcare programs to include:
      • Student data (evaluations, demographics, attrition), faculty data (evaluations, demographics), program data, course data (evaluations), clinical site data (evaluations, surveys), outcome data.
    • Coordinate, organize, and communicate operational information across healthcare programs quarterly (quarterly schedules, directories, student files, student exits and re-entries, advisory reports, etc.) delegate tasks to lower-level staff and student workers.
  • Coordinates, organizes, and/or directs the operation of healthcare program activities.
    • Oversee routine division administrative operations.
    • Assist in expediting signature approvals, payroll, HR, and FSCM workflow approval.
    • Develop reports that provide narratives regarding division operations.
    • Monitor and maintain records to assist aligning program and disciplines with Instructional goals and objectives.
    • Maintain tenure documentation.
    • Keep program participants, staff, and other outside entities informed about program content, activities, and processes.
    • Gather, monitor, and archive, select course materials (syllabi, course outlines, student learning outcomes), to maintain division-related materials for purposes of assessment, accreditation, and state audit requirements. Coordinate with faculty leads.
    • Produce or delegate the dissemination of student course schedules.
  • Represents management and serves as the primary contact in assigned program areas.
    • Attend meetings as necessary to represent management when the dean is unavailable.
    • Take notes and provides input on behalf of Dean at meetings.
    • Provide recommendations to the Dean.
    • Serve as the primary contact for division related matters to be communicated to the dean.
  • Maintain division office space and equipment.
    • Submission and tracking of division work orders and organize the maintenance of division equipment.
    • Serve as main point of contact between division and IT to coordinate computer refreshes and help desk tickets.
    • Organize/Reorganizes and executes office space assignments in consultation with ISS and division dean.
    • Assist with distribution and tracking of any division specific items for check-out.
  • Assist with division communications.
    • Conduct and/or responds to surveys and studies.
    • Perform division-specific orientations.
    • Serve as liaison between supervisor and other staff members, transmitting assignments, and requesting status information.
    • Compose letters, acknowledgments, notifications, apply guidelines with respect to confidential and sensitive materials.
    • Keep program participants, staff, and other outside entities informed about program content, activities, and processes.
    • Prepare board reports.
    • Facilitate development, composition, and distribution of Student Handbooks, Faculty Handbooks, and reviews policy statements.
    • Schedule and support Healthcare Division orientations, agendas, and communications.
  • Provide excellent customer service to students, OC Administrators, and Staff.
  • Perform other related administrative duties as assigned.
  • Qualifications

    Minimum Qualifications
    • High School diploma or equivalent
    • Three years administrative or closely related experience
    • Computer skills and use of software/programs such as Microsoft Office (Word, Excel, Outlook, etc.)
    • Ability to multi-task in a potentially noisy environment with frequent distractions and interruptions
    • Work independently, with minimum supervision in an environment requiring flexibility.
    Preferred Qualifications
    • A bachelor's degree in a related field or program and one (1) year of professional experience in the field
    • Advanced proficiency using Microsoft Excel and Access applications
    • Two or more years of experience working with data management and analysis
    • Experience working in a Higher Education setting

    Additional Information

    Terms of Employment

    This is a full-time classified position scheduled to work 40 hours a week, with a salary range of $48,864 - $65,748. All classified positions will start their salary at Step A when you have completed six months of probation, you will receive a 5 percent pay increase. A collective bargaining agreement exists, and this position is covered by the Washington Public Employees Associate (WPEA) Union.
