    A Brief Overview
    Coordinates the Sleep Disorders Program office in an efficient manner, and provide appropriate secretarial skills related to: Sleep Lab records, typing of all department correspondence/ memos, distribution of mail. The Sleep Disorders Program Office Coordinator will forward all appropriate patient information to the Central Appointment Scheduler for patients requiring Sleep Lab, Behavioral Sleep and Sleep Clinic appointments.

    Essential Functions
    • Performs a variety of functions in support of the Sleep Disorders office.
      • Types/distributes reports, letters and additional correspondence accurately and timely, as needed.
      • Answers telephones, routes calls to appropriate area(s), and takes messages professionally, timely and accurately, and arranges for appropriate phone coverage as needed.
      • Autonomously uses resources in follow-up on communication requests.
      • Maintains work area in a clean and orderly condition to include working knowledge of office equipment, preventative maintenance, minor repairs of all equipment and ordering of office supplies/linen.
    • Maintains Sleep Disorders Program databases and tracking of procedures
      • Updates and maintains polysomnography (PSG) spreadsheets
      • Tracks monthly sleep lab totals providing accurate data and analysis planning
      • Maintains wait list ensuring it is up-to-date and accurate for short notice appointment openings
      • Creates and maintains charts for Sleep Lab studies, then proper destroying and scanning into the EMR upon completion of lab study
      • Sends out and receipt of age-specific patient information packets, forwarding them to Sleep Professionals for appointment/treatment planning.
    • Provides secretarial support for the Program, Director, Physicians, Supervisor and Sleep Technicians to include:
      • Assists Sleep Supervisor with technician schedules and coordinating vacations, meetings and training sessions
      • Types/distributions division correspondence to include: schedules, minutes/materials for meetings, meeting notices, and other related material.
      • Compiles and tabulates data for the generation of reports for the accreditation of Sleep Lab.
      • Monitors, tracks and coordinates the equipment for patients use as directed by the Sleep Specialist for actigraphy and home sleep study trials.
    • Coordinates Centralize Appointment Scheduling on behalf of the Program Director and departments
      • Ensure scheduling availability for performing in-patient studies and staff scheduling
      • Develop patient letters/correspondence, daily patient telephone reminder calls
      • Provides letters for professional and medical organizations including results and interpretations
      • Creates templates for program within appointment systems
      • Uploads patient messages into the EPIC system for the nurse and providers
    • Regular attendance at work is an essential function of the job.
    • Perform physical requirements as described in the Physical Requirements section
    Education Qualifications
    • High School Diploma or G.E.D. Required
    Experience Qualifications
    • Minimum 1 year of word processing/computer experience Required and
    • Previous pulmonary/sleep lab experience Preferred and
    • Previous medical office management Preferred
    Skills and Abilities
    • Thorough knowledge of medical terminology in order to perform transcription.
    • Training in secretarial expertise is required usually beyond high school with formal knowledge in grammar and spelling.
    • Additional requirements include: computer skills, office management skills, decision-making skills, organizational skills, record keeping ability, and sufficient communication skills.
    • Must be a self-starter requiring minimal supervision.
