- Handles the full range of event logistics including creation of floor plans, catering, rentals, dcor, communications and planning timelines.
- Acts as a liaison with other Salk departments in the execution of stewardship events including Communications, Development, Finance, Salk Events, Facilities, and Security.
- Coordinates planning meetings for assigned events, including scheduling meetings, reserving rooms, requesting refreshments, preparing agendas, and recording and distributing meeting minutes.
- Serves on the Engagement and Wellbeing initiative and takes on most event related coordination for the Stewardship team.
- Manages relationships with vendors related to events according to Salk Institute policies.
- Assists with External Relations events and other projects as needed.
- Performs other related duties as assigned by management.
- This job has no supervisory responsibilities.
- Bachelor's Degree (BA) from four-year college or university, and minimum 1-2 years of experience in special event coordination, with ability to prioritize daily operations and projects in order to meet rigid deadlines, ensure smooth workflow and handle multiple tasks simultaneously, often working under pressure and with frequent interruptions while exhibiting extreme attention to detail and always maintaining a high degree of accuracy.
- 3-5 years of experience in special event coordination.
- Prior experience in a larger non-profit organization, preferably working on fast-paced teams with demonstrated knowledge in the fundraising activities including prospect identification, qualification, cultivation, gift solicitation, stewardship and donor recognition.
- Prior experience in hosting events for high-net-worth individuals providing a high level of customer service.
