EXP JOURNEYS - EVENTS COORDINATOR
EXP Journeys is a luxury travel company, offering privately guided luxury vacations, luxury camping, and immersive corporate retreats. EXP is seeking a client-focused, detail-oriented professional to join our team as an Events Manager.


The Events Coordinator will support Event Managers, Director of Events and Creative Director to cultivate private, custom events and corporate retreats.

Each event is unique and designed with the client's preferences and desires at the forefront to elevate the experience.

The Events Coordinator will support with vendor research; RFPs; pricing quotes and contracts; planning logistics and staff; and miscellaneous tasks related to accommodations, experiences, and meals.


JOB RESPONSIBILITIES:


Event Management

  • Collect traveler information and input into proprietary system; communicate important information between staff and vendors to enhance client experience
  • Serve as liaison between client and vendor
  • Confirm reservations, make payments, and record information in database in alignment with contracts/agreements
  • Prepare and continuously update Run of Show specifying all timing, location, staffing, equipment needs, etc.
Maintain current records of all bookings and event elements

  • Determine and acquire necessary gear and equipment for event
  • Order and organize all event gifting including embroidery, customization, and sizing.
  • Manage event inventory at various depots
  • Serve as onsite coordinator during the event; some travel required

Other Administrative

  • Continually update internal database with current information
  • Other duties as required or requested based upon seasonal demand

DESIRED QUALIFICATIONS:


  • Background in Event Management, Hotel, or Travel
  • Professional demeanor to work with high networth clients
  • Strong written and oral communication skills
  • Strong organizational skills with ability to prioritize tasks
  • Highly detailoriented with emphasis on consistency and accuracy
  • Ability to problem solve calmly, swiftly, and effectively

Pay:
From $50,000.00 per year
