- Serves in many respects as the first point of contact for the COO's office with courtesy and professionalism.
- Takes action to respond to and as appropriate, engage others within the organization, to address issues or concerns when the COO is not immediately available.
- Coordinates communication and activities amongst the Executive / Leadership team to facilitate a matrix-managed organization.
- Completes special projects by organizing and coordinating information and requirements; planning, arranging, and meeting schedules; and monitoring results.
- Provides administrative support by managing and executing activities to relieve the Executive of routine tasks, i.e., expense reports, schedule management, approval requests, note/minute taking, travel arrangements, etc., within delegated authority.
- Provide backup administrative support to other executives as needed.
- Associate degree in a relevant field of study from an accredited institution instead of applicable skills training. SourceAmerica recognizes 1.5 years of experience = 1 year of college, should the candidate not meet the educational requirement.
- Proven experience as an executive assistant or similar role, supporting C-level executives.
- Strong organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment.
- Excellent written and verbal communication skills, with a keen eye for detail.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Discretion and confidentiality in handling sensitive information.
- Flexibility and adaptability to changing priorities and deadlines.
- Working knowledge of coordination requirements for the successful preparation and approval of reports, briefings, memoranda, and presentations.
- Understanding of technology and its capabilities as it relates to business process improvements.
- We use Microsoft Dynamics 365 (D365) as our primary business application system for much of our office processes- experience with D365 or SharePoint, CRM Platform using similar methods is preferred.
