Overview:


Nakupuna Consulting is searching for an Executive Assistant to become part of our team of skilled consultants delivering professional services to assist the Department of Defense, Office of the Secretary of Defense.


Responsibilities:

  • Manage daily Front Office activities and maintain a professional work environment by understanding and following Senior Executive Service (SES) protocols
  • Plan and organize meetings, greet visitors, and engage with the public in a customer-oriented, detail-focused, adaptable, and proactive manner within a fast-paced DoD organization
  • Independently and proactively convey information, gather and organize data, create and review presentations, communicate internally and externally within the directorate, and manage calendar and event scheduling conflicts
  • Directly oversee, organize, and synchronize complex calendars and schedules of executive personnel. Proactively handle executive calendars focusing on accuracy, detail, and time allocation to enhance productivity. Address conflicts, manage changes, and reprioritize when necessary
  • Write, review, and edit drafts of notes, internal memoranda, and official correspondence. Monitor and track taskers and open actions based on inputs and directions from senior office staff. Maintain performance metric reports for senior management
  • Handle communications, including taking messages and directing calls to the appropriate recipients within the organization. Interact with office visitors. Welcome and accompany high-ranking officials
  • Ensure the Front Office is well-presented for senior defense officials. Address facility issues and ensure sufficient office supplies are available
  • Support office security administration by assisting with security clearances and visit requests for personnel and visitors
  • Keep electronic and hard copies, as instructed by the Government, of all office documents such as letters, memoranda, reports, and presentations
  • Manage conference room schedules and aid in meeting setup including VTC equipment or bridge line setup
  • Assist government personnel with official travel and logistics arrangements to fulfill mission requirements using the Defense Travel System (DTS) in compliance with the Joint Travel Regulations (JTR)

Qualifications:

Education and Experience:


  • B.A./B.S. degree preferred
  • Experience supporting senior executives preferred
  • Proficiency in Microsoft Office products (Word, Excel, Outlook, and PowerPoint), Adobe, SharePoint, and office equipment operation required
  • Strong oral and written communication skills tailored for executives
  • Demonstrated ability to write clear, concise, and articulate correspondence emphasizing quality control and attention to detail
  • Excellent interpersonal and customer service skills that promote teamwork and positive interactions with colleagues and leaders
  • Ability to prioritize, multitask, plan, solve problems, and adapt in a fast-paced and strategic environment with minimal supervision
  • Understanding of coordination requirements for effective preparation and approval of reports, briefings, memoranda, and presentations
  • Experience with task management and correspondence preferred

Clearance:
This role demands an active Secret security clearance. Must be a U.S. citizen.
