    As the first point of contact for our customers, we are seeking a friendly and efficient Administrative Assistant with bookkeeping experience to join our cliet's team. This role requires excellent communication skills, proficiency in Microsoft 365, and the ability to manage front desk responsibilities along with bookkeeping tasks. The ideal candidate will be detail-oriented, organized, and capable of handling various administrative duties in a casual office environment.

    Responsibilities:

    1. Customer Interaction:
      • Greet customers in person and answer incoming calls promptly and professionally.
      • Provide friendly and helpful assistance to customers both face-to-face and over the phone.
      • Maintain a positive and welcoming atmosphere at the front desk.
    2. Phone Management:
      • Take detailed messages and direct calls to the appropriate personnel.
      • Ensure timely and accurate communication within the company.
    3. Bookkeeping Tasks:
      • Enter Accounts Payable and Receivables accurately into the system.
      • File A/R and A/P documents and scan relevant information for record-keeping.
      • Learn and effectively use QuickBooks and ERP systems.
      • Post customer payments and reconcile accounts.
    4. Administrative Duties:
      • Maintain an OSHA log and ensure compliance with safety regulations.
      • Utilize Microsoft 365, particularly Word and Excel, for various administrative tasks.
      • Assist in other administrative duties as required.
    5. Communication:
      • Maintain clear and open communication with colleagues and customers.
      • Provide updates on tasks and projects as needed.
    6. Additional Responsibilities:
      • Handle basic accounting tasks
      • Maintain a professional demeanor and represent the company positively.

    Requirements:

    • Previous experience in administrative support and bookkeeping roles preferred.
    • Proficiency in Microsoft Office Suite, particularly Word and Excel.
    • Ability to learn and adapt to new software systems, such as QuickBooks and ERP.
    • Strong communication and interpersonal skills.
    • Detail-oriented with excellent organizational abilities.
    • High school diploma or equivalent; additional education in accounting or administration is a plus.

    Working Hours:

    • Monday to Friday, 7:30 am to 4:00 pm with a 30-minute lunch break.
    • Two 15-minute breaks in the morning and afternoon.
