    Job Title: Senior Executive Assistant

    Location: Nashville, TN

    Position Type: Full-time

    Reports to/Provides Support for: President & CEO, EVP & CFO, EVP Legal & Business Affairs

Today, the company represents more than 3,000 annual live shows and events across its various entertainment brands.

    Job Description:

    We are seeking an experienced and proactive Senior Executive Assistant to provide comprehensive support to our senior executive team. The ideal candidate will be highly organized, detail-oriented, and capable of managing a wide range of tasks with precision and professionalism. In addition to executive support duties, this role will also assist with office & Organizational coordination, meeting planning and support to the human resources and payroll functions.

    Responsibilities (approximate percentage of time spent):

    Executive Support (50%):

    o Manage and maintain executives' schedules, including complex calendar management and coordination of meetings, appointments, and travel arrangements.

    o Act as the primary point of contact for internal and external stakeholders, screening and prioritizing communications and inquiries.

    o Prepare and edit correspondence, presentations, and other documents on behalf of the executive team.

    o Handle confidential information with discretion and maintain the highest level of professionalism and confidentiality.

    Meeting Planning (10%):

    o Assist in the planning, coordination, and execution of meetings, including scheduling, logistics, agenda preparation, and follow-up actions.

    o Coordinate with internal teams to ensure meeting materials and resources are prepared and distributed in a timely manner.

    o Provide on-site support during meetings, including setting up technology, and facilitating communication among participants.

    Human Resources and Payroll Support (20%):

    o Assist with basic HR administrative tasks, such as scheduling interviews, processing paperwork, maintaining employee records, and coordinating employee onboarding and offboarding processes.

    o Support Company's HR team with coordination of training sessions, employee events, and other HR initiatives.

    o Provide assistance with payroll processing, including data entry, verification, and resolving payroll discrepancies.

    o Serve as a point of contact for employees seeking HR and payroll-related assistance and escalate issues as needed.

    Additional Responsibilities (20%):

    o Act as a central point of contact for internal and external stakeholders, ensuring effective communications flow across departments and levels of organization.

    o Oversee key projects and initiatives, from conception to implementation, ensuring deadlines are met and objectives are achieved.

    o Identify opportunities to optimize organizational structure, processes, and systems to enhance efficiency and effectiveness.

    o Foster collaboration and alignment across departments and functional areas, breaking down silos and promoting a culture of teamwork and shared success.

    o All other duties as assigned.

    Qualifications:

    o Bachelor's degree preferred, or equivalent combination of education and experience.

    o Minimum of 5-7 years of experience in an administrative role, with at least 2-3 years supporting senior executives or C-suite members, preferably in the live entertainment industry.

    o Proficiency in Microsoft Office Suite and other productivity tools.

    o Excellent communication skills, both written and verbal, with the ability to interact effectively with individuals at all levels of the organization.

    o Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.

    o Discretion and confidentiality in handling sensitive information.

    o Ability to work independently with minimal supervision and as part of a team.

    o Experience with office coordination, meeting planning, human resources, and payroll support is a plus.
