    Position Focus:


    Reporting to the Assistant Director of Development, the Program Coordinator provides advanced support related to Development and Membership within the Peabody Museum through activities such as writing, research, data analysis, project coordination, member and donor support, and assisting with activities and events.

    Responsibilities include serving as a primary point of contact for member and donor inquiries; drafting and proofing a wide array of written materials, including comprehensive individual donor briefings, gift proposals, gift agreements, stewardship reports, and internal and external correspondence that conforms to the style and voice of the sender; conducting research on individuals, corporations, foundations, and institutions using databases, internet search engines, office files, and other resources; designing, developing, and analyzing reports through database queries and Excel, utilizing our primary Blackbaud donor database; assisting with the coordination and execution of member and donor events, as well as board meetings and celebrations of special initiatives; tracking and producing donor stewardship to ensure donors receive ongoing communication regarding the impact of their gifts to the Peabody, which includes creating customized stewardship reports and other outreach; providing administrative support for Development and Membership, including gift processing, booking reservations, member requests, managing mail and supplies, completing department expense reports, preparing letters for signature, and project tracking; and serving as an internal liaison to other departments within the Peabody and Yale as necessary.

    Essential Duties:

    • Drafts a variety of written materials, including detailed individual prospect briefings and endowed gift agreements, proposals in support of specific University initiatives and internal and external correspondence that conforms to the style and voice of the sender. 2. Coordinates research on individual donors and the history and status of gift commitments as needed by gift officers and other University officials. Ensures the accuracy of gift acknowledgments and all information communicated to donors and prospects. 3. Prepares reports on prospect pools summarizing giving, status, affiliation and other data points, as needed. 4. Assists in the coordination of special events, including dedications, donor recognition events and celebration of special initiatives to ensure timely and successful completion of the proceedings. 5. Designs and produces ad hoc reports based on data extracted from primary databases to support fund raising programs. 6. Oversees stewardship functions to ensure that donors receive ongoing communication regarding the benefits of their gifts to Yale. 7. Supports fundraising directors and gift officers in a range of additional activities related to the University's development effort, as needed. 8. May perform other duties as assigned.

    Required Education and Experience:


    Six years of related work experience, four of them in the same job family at the next lower level and a high school level education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor degree in a related field; or an equivalent combination of experience and education.


    Required Skill/Ability 1:
    Proficiency with Microsoft Word, Excel, PowerPoint. Ability to work with databases, such as Blackbaud software.

    Required Skill/Ability 2:
    Strong communication skills with emphasis on writing and editing ability across a range of written materials. Good oral communication and interpersonal skills, including the ability to effectively communicate on the phone and in person. Writing sample required at time of interview.

    Required Skill/Ability 3:

    Ability to be a self-starter with excellent organization skills and the ability to manage multiple projects and stakeholders simultaneously.

    Ability to analyze information from disparate sources and synthesize into a cogent and concise form. Ability to initiate and complete tasks with minimal supervision, and meet deadlines in a time-constrained environment. Required Skill/Ability 4: Ability to build collaborative relationships with faculty and staff across various departments and projects. Interest in science and museums. Professionalism, maturity and an ability to maintain strict confidentiality.
