    Description


    Monitors accuracy and maintains integrity and confidentiality of donor/potential donor record systems, including retention and review of record retention policies.

    Evaluates and modifies data review and documentation procedures, including escalation timelines for data access, receipt, and correction. Ensures alignment of policies with practice and regulations; identifies planned/unplanned deviations for review with departmental and organizational leadership.


    Establishes and supervises staff on donor records, data submissions to regulatory and government agencies, and post-recovery follow-up with organizational partners to coordinate timely compliance with access, review, and information sharing.


    Oversees staff responsible for requests to obtain death lists and medical records, identification of missed referrals and related medical record reviews, and sharing of missed referral data with internal stakeholders.

    Collaborates with internal partners to troubleshoot and escalate barriers to data access and receipt.

    Assumes accountability of professional development of direct reports.

    Performs annual competency reviews and coordinates necessary training for performance of assigned roles. Ensures accurate and timely completion of deliverables and sets appropriate expectations.

    Assumes role as an organizational UNOS Patient Safety Contact for Potential Disease Transmission Reporting, communication, documentation, and follow-up.


    Reviews and recommends policies and procedures to ensure clinical practice compliance in organ/tissue donation and recovery and identifies the need for new policy developments or policy changes to meet regulatory requirements.


    Identifies Donor Record QA and Death Record Review outcomes, observations, and deviations for organizational Change Management and Audit scheduling as necessary for improvement of Clinical Operations in collaboration with the Department of Process Transformation and Innovation (DPTI).


    Assists the Director of CQAPI and DPTI in Quality-related Occurrence investigations and documentation as assigned in LiveOnNY's Quality Management System; participates in Quality-related Root Cause Analyses as designated.


    Alongside the Director of CQAPI, reviews and revises Quality policies, work instructions, and job aides; Also develops data-driven Process Improvement strategies to ensure continuous progress towards organizational/departmental goals.


    Collaborates proactively with organizational leadership to establish policy-appropriate schedules and tasks for QA outcomes review and recommendations, and to identify process improvement opportunities such as Donor Record QA/Death Record Review related findings, outcomes, existing or anticipated internal/external barriers, challenges and organizational downstream impact.


    Requirements

    Bachelor's degree and
    2 yrs experience supervising/managing direct reports are required.


    2 yrs clinical/research experience in Organ/Tissue Recovery, Hospital, or govt. health/medical agency is required.
    1 yr healthcare regulatory compliance such as The Joint Commission, CMS, DOH, FDA, etc. is required.

    RN, PA, CTBS
    , and/or Healthcare Management/Administration or Systems Engineering degree preferred.


    2 yrs experience Process Improvement (PI) methodologies in healthcare setting like Lean, Six Sigma, PDSA, RCAs, or A3 process mapping preferred.
    1 yr HIM, Risk Management, CDI, or Hospital Service Lines preferred.
