    Job DescriptionProgram Coordinator, Operations - Atlanta, GAJob Description

    The Program Coordinator performs an administrative role with the UNCF Institute for Capacity Building program management team, assisting multiple program managers with programmatic responsibilities. The Program Coordinator will have the responsibility of performing administrative duties such as answering phones and emails, filing, and managing schedules, while also assisting in budget oversight and event planning.

    About UNCF

    The United Negro College Fund (UNCF), the nation's largest and most effective minority education organization, has been an engine of minority educational achievement for more than 80 years. UNCF's mission is to build a robust and nationally recognized pipeline of black students who, because of UNCF support, become highly qualified college graduates. In addition, UNCF ensures that its member institutions remain respected models of best practices in moving students to and through college. Since its inception in 1944, UNCF has raised over $6 billion in private support, distributed more scholarships to help minorities attend school than any entity outside of the federal government, and enabled more than 500,000 minority and low-income students to graduate from UNCF's member historically black colleges and universities (HBCUs) and launch professional careers. UNCF is committed to closing the educational attainment gap between African Americans and other populations by increasing postsecondary access and success for students from underrepresented groups, particularly low-income and first-generation students.

    About ICB

    Launched in 2006, UNCF's Institute for Capacity Building (ICB) provides targeted capacity-building resources to help HBCUs improve their resilience. We define resilience as the institution's ability to improve its operation today and future-proof them for tomorrow. ICB's engagement equips UNCF member institutions, and other HBCUs and PBIs, to provide high-quality educational experiences to their students and the broader Black community. ICB's work focuses on three areas critical to HBCU success: institutional effectiveness, academic competitiveness, and financial viability. Beyond our strategic advisory and project management support, ICB serves as an innovation hub for Black colleges, connecting institutions to funders, best practices, resources, and subject matter experts both within and outside of UNCF.

    Successful candidates will join the Institute for Capacity Building team which is headquartered in Atlanta, Georgia. In addition to specific roles and responsibilities, ICB team members have proven to be successful when they:

    Primary Responsibilities and Duties

    The Program Coordinator will provide administrative and planning support to the portfolio manager or program within ICB. The job description of a program coordinator requires the ability to multitask, a familiarity with necessary office procedures, and strong interpersonal skills.

    Specific responsibilities include:

    • Creates and maintains physical and computerized programmatic records
    • Schedules appointments and meetings for program managers and Directors
    • Maintains office calendars and sends out reminders of impending appointments
    • Proofreads documents
    • Assists in planning and overseeing special events
    • Assists in preparing financial reports
    • Creates flyers, newsletters, and brochures
    • Creates PowerPoints and other presentations for staff
    • Makes travel, hotel, and car rental reservations for off-site business meetings
    • Acts as a liaison between stakeholders
    • Provides administrative support in the development, implementation, and marketing of program function
    • Coordinates activities of support staff, consultants and volunteers engaged in the implementation and administration of program objectives
    • Assists in grant and proposal writing as appropriate
    • Performs specialized activities of a programmatic nature in direct support of the accomplishment of program objectives
    • Answers phones and responds to emails
    • Performs miscellaneous job-related duties as assigned
    SUPERVISORY RESPONSIBILITIES

    This job has no supervisory responsibilities.

    Qualifications

    Candidates should have:

    • 1-3 years of administrative support or related experience
    • High School diploma required, Bachelors degree preferred
    • Demonstrates excellent interpersonal skills
    • Exhibits ability to multitask regularly
    • Detail-oriented
    • Proficient in Microsoft Office - Word, Excel, and PowerPoint
    • Works well with different personalities
    • Possesses excellent phone etiquette
    • Excellent communications skills
    • Capable of multi-tasking
    • Exhibits strong organizational skills
    • Demonstrates ability to think creatively to assist in event planning and marketing
    • Demonstrates excellent time management skills
    • Records maintenance skills
    • Ability to gather data and generate reports
    • Ability to make administrative/procedural decisions and possess sound judgment
    • Skill in organizing resources and establishing priorities
