    Overview

    Leads Gatherings operations project and administrative support company-wide which includes supporting product-line senior leaders and projects managers, including project management administration, coordinating vendors, permitting, and contract administration.

    Primary Duties & Responsibilities

    • Will input project data into and administer ProCore, BuildPro, Microsoft Project, and other systems/databases; will assist with Variance PO (change order) process.
    • May set up and maintain project files; will assist with construction schedules for all projects.
    • May maintain progress report; may track all checklist reports and ensure Project Managers/Superintendent is completing and submitting in timely manner; may prepare and release start packages; may track keys and Certificates of Occupancy.
    • Will maintain project logs and completion documents; determine quality of completion;
    • Coordinate the starts and permitting process for all communities nationally.
    • Supporting construction field-based team in their day to day administrative functions.
    • May assist in coordinating training, meetings, coding invoices, and/or travel for management in assigned departments.
    Education & Experience
    • Over 2 years experience working in construction and/or project management/administrative assistant preferred.
    • Ability to deal equitably and professionally with staff, management, customers and vendors.
    • Ability to communicate patiently and professionally with customers; ability to answer calls professionally and knowledgeably on behalf of senior management.
    • Strong organization skills; ability to prioritize several tasks without compromising quality of work or deadlines.
    • Ability to use word processing, e-mail, spreadsheet, presentation (PowerPoint), MS Project, MS Excel BlueBeam, ProCore software for advanced internal and external communications, creation of reports and presentations and database maintenance.
    • Knowledge of Business English and related correspondence formats.
    • If managing staff, ability to manage administrative team effectively. Must be able to distribute work among team equitably and within each individual's abilities and resolve employee problems and issues that may occur.
