    Position Summary:

    FirstLine Schools is looking for strong candidates for the role of School Operations Manager for one of our (Pre) K-8 schools.

    The School Operations Manager is responsible for operations, financial administration, facilities & IT, and team management. SOMs must be highly efficient across varied functions as the job encompasses large-scale project management (i.e. school-wide event management) as well as detail-oriented accuracy (i.e. compliance and finance reports).

    The SOM must be a highly effective team leader, motivating and influencing his/her team to consistently deliver high quality results as well as devising systems and procedures to increase productivity across all staff and all functions.


    Position Responsibilities:
    Facilities ManagementCoordinates the logistics of construction warranties and capital improvements, as neededMaintains asset inventory of all capital items and building system equipmentMaintains school facility compliance with state and local code requirementsEnsures compliance with emergency preparedness by managing the school's crisis plan and coordinating consistent, effective practice of fire drills and lockdown proceduresManages school-site security, including key control, alarm code access, and security perimeterActs as manager for facilities maintenance, custodial, security, and other third party service contracts, ensuring ongoing monitoring and implementation of contractsFinancial AdministrationAssist school leadership in reviewing monthly financial reports and updates monthly financial projectionsProvides site-based support in preparation for year-end audits as well as any site audits from state or federal agencies in coordination withFirstLine network staffProvides financial oversight and ensure school-wide proper adherence to financial policies and proceduresFollows fiscal policies regarding procurement and vendor payments, including the appropriate completion of purchase orders and approval of vendor invoicesManages and reconciles school's petty cash, credit cards, and checkbookSchool LogisticsSupports all operational and logistical projects for schoolResponsible for site-level procurement of supplies, materials, equipment, and inventory managementServes as the local manager for third party service contracts, ensuring ongoing monitoring and implementation of contractsResponds to and resolves routine internal and external inquiries with parents, employees, and school organizationsSupports planning and implementation of emergency plan as neededEvent ManagementCoordinates logistics for school field trips, events, and extra-curricular activitiesProvides coordination and support for internal and external events at the school site, including after-hours events and facilities use agreementsAct as part of Network Operations team to support set-up/break-down for network-wide PD eventsInformation TechnologyCoordinates technology implementation (planning, procurement, and training)


    Manages IT CoordinatorTransportationManages school bus routes and rosters, increasing efficiency and ensuring accurate data from all transportation systemsManages communication with transportation service provider(s), troubleshooting issues with buses or riders on a daily basis, and ensuring appropriate quality and timelinessSchool Food ServicesManages communication with food services, ensuring appropriate quality and timeliness, supporting compliance and troubleshooting issuesDataWorks with school personnel and FirstLine network personnel to maintain integrity and accuracy of student records, including maintenance and tracking of attendance and retentionPrepares reports on site operations as requested by school or network staffEnrollment and RecruitmentServes on enrollment team at school site and, as required, leads the enrollment process by working with the school leadership, secretaries, teachers, and central enrollment department/advertising to meet enrollment targetsAssists with recruitment campaign for students (e.g., new students, intent to attend, waiting lists) including engagement in local marketing initiatives, demographic analysis, and coordination with local/regional communications specialistsTeam ManagementManages day to day activities of designated non-instructional staff, at the discretion of the school leader, managing from two to five staff members, depending on the schoolSupervises development of professional growth plans and training for designated non-instructional staffCooperates with network staff to track employee information including new hire paperwork, contact information, compensation, vacation/sick days, recruitment screening, background checks, etc.

    Serves as a member of the school leadership teamRisk ManagementAct as a member of the school crisis team, working with the School Director to ensure all reports are completed and any necessary changes to policies and procedures are madeWorks as school liaison for any Workman's Compensation issues due to staff workplace injuryConducts regular walkthroughs to mitigate any facilities-based issues, working with the maintenance team and/or outside contractors, as necessaryEducation & Experience:
    Bachelor's degree required2-5 years in nonprofit management, facilities management or school operations managementDedication to the FirstLine mission and vision for open admissions educationDemonstrated record of exceptional organizational, analytical and communication skillsDemonstrated ability to work effectively with a diverse population of stakeholdersComfortable with database managementHighly proficient in Microsoft programs and with the Google Apps for Education SuiteAbility to do basic facilities problem-solving and minor fixes (preferred)

    Physical Requirements:
    While performing the duties of this job, the employee may be required to sit, walk, stand, talk, and hear. Light lifting of equipment may be required (up to 20 lbs.)
