    Job DescriptionWilliam Vaughan Company is helping in the search for an Administrative Assistant for a General Contractor based in Holland, OH. They are seeking a skilled individual to join their team. As the Administrative Assistant, you will be supporting in various capacities as it relates to front desk office management, marketing and customer relation management. This person must be sufficient in various technology platforms and be comfortable taking on new challenges in the construction industry. If you have a strong background in administrative assistant/construction and a commitment to delivering high-quality results, we want to hear from you

    Role:

    • Tasks will involve data entry, answering phones, mail sorting, timesheet adjustment/review, document scanning/sorting/digital filing.
    • Enterprise Software fluency: Accounting, document management, contracting.
      • Sage Software Suites, Sage 300 Construction & Real Estate, Sage Paperless Construction Document Management, Microsoft 365.
    • Drafting subcontracts, purchase orders, vendor proposal procurement, bid package coordinating, construction plan & specification organization .
    • Invoice cost coding, accounts receivable, accounts payable.
    • Communicating with potential clients over project leads, help finding or pursuing client leads.
    • Social Media Company Promotion skills, helping us brainstorm to discover potential new client leads. Open up communication and relationships with potential new clients within our work radius.

    Requirements:

    • Construction and Entry Level Accounting experience a plus.
    • Customer Relationship/Management Skills.
    • Marketing Skills and Experience.
    • Excellent communication skills with the ability to collaborate effectively with cross-functional teams.
    • Engages in efficient time management to ensure tasks are prioritized based on importance and urgency.
    • Physically fit and able to work long hours.
