Description
PRIMARY FUNCTION:
Partners with the Director of Alumnae Relations in managing all aspects of the alumnae office including alumnae programming, stewardship, communications, networking, and constituent management.
Serves as an integral part of the Advancement/Alumnae Relations team in efforts to engage alumnae, strengthen their relationship with Harpeth Hall, increase their support of the school, and ensure the value that Harpeth Hall provides in the lives of our alumnae.

Director of Alumnae Relations and Director of Advancement
DUTIES/RESPONSIBILITIES:
Program Development and Management:
In collaboration with colleagues within the Advancement Office, plans, implements, and promotes new and innovative alumnae programming that supports the Board of Trustees' strategic plan regarding nurturing the Harpeth Hall culture of philanthropy.
Leads the Alumnae Book Club program. Participates in the development and execution of Winterim for Adults. Works with students to build relationships with alumnae through the Alumnae Pen Pal program.Special Event Management:
Partners with the Director of Alumnae Relations to plan and execute alumnae special events including the Almost Alumnae Luncheon, College Age Brunch, Alumnae Holiday Party, BIPOC Events, the Step Singing Reception, the Alumnae Art Exhibit, Career Day, Regional Events, Sunday on Souby, and other events throughout the year.
Manages event registrations, produces attendance lists, and nametags. Participates in developing new alumnae events that will enhance alumnae engagement.Produces analytical reports to evaluate the success of alumnae events and makes recommendations for the improvement of events in the future.
Reunion Production:
Partners with the Director of Alumnae Relations to plan and execute a successful annual Reunion.
Serves as the point person for communicating with and training reunion class co-chairs and provides up to date attendance and class giving information.
Produces accurate class lists, fresh orientation materials, segmented and personalized reunion correspondence and invitations. Seeks innovative and efficient systems for managing reunion registrations and supervises student ambassadors. Staffs all on-campus Reunion Weekend events.Alumnae Records Management:
Researches information on our alumnae community and updates the database accordingly. Prepares class notes, weddings, births, and In Memoriams for Hallways. Partners with the Advancement Services Manager to ensure the integrity of the alumnae database.
Meeting Management:
Collaborates in setting meeting agendas and activities for meetings of the Alumnae Association Board, the National Advisory Council, the Head's Young Alumnae Council, HHConnectHER, and the Distinguished Alumna Selection Committee.
Coordinates meeting logistics and prepares meetings materials. Creates and delivers presentations as needed at these meetings related to networking tools and opportunities.Communications and Networking:
Creates and distributes a monthly alumnae e-newsletter and produces periodic specialized alumnae emails. Responsible for building the alumnae community on the website and ensures that all content is accurate and current. Assists in writing web content and posting photos. Participates in efforts to research and utilize social media tools to increase alumnae engagement and networking. Promotes and manages the Graduway Alumnae Network to foster mentoring, career building, and alumnae relationships.
Alumnae Giving Strategy:
Collaborates in developing strategies to promote alumnae giving, reunion giving, including the Day of Giving. Helps steward alumnae donors.
Class Ambassador Program Management:
Participates in enhancing the size and impact of this program. Identifies, recruits, and supports alumnae who agree to serve as Class Ambassadors.
Regional Events Execution:
Supports regional event planning and hosting efforts. Provides constituent reports for the Head of School and other leaders attending the events. Periodically attends regional events.
Budget Management:
Tracks revenues and expenditures within the Alumnae Relations budget. Facilitates vendor payments and registration fee reconciliation with the Business Office.
REQUIREMENTS:
College degree and experience in project and event management, marketing, public relations or alumnae relations, and fundraising.
Blackbaud/Raiser's Edge experience or similar database system preferred. Microsoft Office and Google Docs experience required. Website content management, Photoshop and/or other graphic design software, social media skills are helpful.
