    Description
    A successful Executive Assistant possesses structure, attention to detail, quality focus, high energy, and flexibility in a high-paced deadline-driven organization. In this role, you will need to work well in a team environment, be able to represent the leadership team with professional courtesy and acumen, and deliver flawless work output. Your daily routine also includes interaction with various executive-level external clients as well as internal clients across many lines of business. You will need to adapt procedures, processes, and techniques to complete assignments in line with the company's activities and goals.

    Executive Assistant Qualifications:
    • At least five years of administrative experience, ideally supporting at the director level (or equivalent) or above.
    • Self-starter with the ability to organize and manage own time independently with a flexible work ethic.
    • Team player who is accountable to others.
    • Ability to multitask effectively in a busy environment where constant re-prioritization is required.
    • Advanced ability to organize.
    • Tact and good judgment in confidential situations, and proven experience interacting with senior management.
    • Ability to travel domestically (50% overnight) and internationally (occasionally)
    • Ability to obtain a valid passport.
    • Must possess a valid driver's license.
    Executive Assistant Responsibilities:
    • In this role you will need to work well in a team environment, be able to represent the Managing Partner/group with professional courtesy and acumen, and deliver flawless work output.
    • Your daily routine also includes interaction with various executive-level external clients as well as internal clients/business partners across many lines of business.
    • Ability to travel domestically most weeks and internationally, as needed.
    • You will need to adapt procedures, processes, and techniques to complete assignments in line with the company's activities and goals.
    • Works closely and effectively with the Managing Partner and keeps him well informed of upcoming commitments and responsibilities, following up appropriately.
    • Plans, coordinates, and ensures schedule is followed and respected.
    • Provides "gatekeeper" and "gateway" roles, creating win-win situations for direct access to the Managing Partner's time and office.
    • Research, prioritize, and follows up on incoming issues and concerns with a high degree of sensitivity and confidentiality.
    • Extensive Calendar management: prioritizing and managing.
    • Organization of internal/external client meetings and events
    • Travel arrangements both domestic and international, business, and private
    • Experience in completing expenses on time and in line with company policy.
    • Regular calls/meetings with business functions to ensure they are on top of/aware of the ongoing meetings/materials the Managing Partner may require.
    • Manage the coordination and logistics of both internal and external meetings.
    • Organize all aspects of offsite conferences and external events, including catering and transportation.
    • Produce high-quality emails and messages to individuals at all levels of the organization.
    • Handle regular activities without prompting and advise in advance with issues or delays.
    • Assist in editing spreadsheets and presentations, including printing and binding, for client meetings.
    • Work cooperatively with the administrative assistant's team, in positive partnership to support each other smoothly.
    • Lead and coordinate ad hoc projects as requested.
