    **POSITION SUMMARY**

    The Wedding Sales Manager is responsible for overseeing all aspects of event sales from the initial guest contact through securing a deposit. The Wedding Sales Manager solicits new business and facilitates in building and maintaining relationships to ensure achievement of annual sales goals, and transfers all knowledge regarding events to the staff responsible for event execution.

    **ESSENTIAL RESPONSIBILITIES**

    Executes an annual program to achieve forecasted sales while providing the highest quality customer service.

    Manages the Wedding Special Events sales office utilizing consistent, responsive procedures for all inquiries including a protocol for site visits.

    Responsible for the development of all Wedding Special Events sales materials, and regularly review materials to ensure the quality exemplifies the CIAs standard of excellence.

    Schedules and conducts site visits for prospective clients.

    Efficiently and effectively qualifies event inquiries, including event date(s), space requirements, Food & Beverage and other service or support requirements.

    Prepares event proposals responsively and timely to best match client expectations, department capabilities, and established margins.

    Properly communicates and requests space bookings for all Wedding Events for Copia / Greystone and is responsible for control of event spaces at Greystone while working in conjunction with the Education Department.

    Provides financial reporting, including periodic sales reports, forecasting and analysis.

    Participates in the development of new products and services.

    Coordinates with internal public relations and marketing departments to promote Special Events products and services.

    Identifies and secures opportunities for other departments within the campus.

    Represents the Events team at local, regional, and national trade shows and maintain membership in key associations in the local area.

    Prepares and executes plans for identifying new markets and clients for Wedding Special Events.

    Coordinates with the Executive Chef on menu planning functions and events.

    Works closely with the Food and Beverage Director of Copia and Greystone Senior F&B Manager and senior management on costing of events, and defining food and labor costs in order to maintain established margins.

    As required by business needs, provides backup supervision to staff executing events, including Banquet Captains, Banquet Bartenders, Banquet Servers and Stewarding team. Coordinates with Events Culinary team on event execution as required.

    Any and all other duties as assigned.

    **REQUIRED QUALIFICATIONS**

    Education:

    Hospitality management, culinary or tourism degree or equivalent work experience.

    Experience:

    Minimum two (2) years of experience in special events, with emphasis in wedding sales and marketing.

    **PREFERRED QUALIFICATIONS**

    Two (2) years of experience as a catering / special events sales manager in the Bay Area and Napa Valley strongly preferred.

    Minimum one (1) year of supervisor experience.

    Familiarity with a variety of food, beverage and service styles and/or programs suitable for corporate, social, and charitable events.

    Working knowledge of Catering Software,

    **REQUIRED SKILLS**

    Excellent written, verbal communication, and presentation skills required. Must have demonstrated ability in organizational, time management, problem solving and interpersonal skills.

    Excellent event management skills.

    Demonstrated ability to show a high level of service responsiveness to customers.

    Strong knowledge of computers specifically, Microsoft Word and Excel.

    Strong analytical, problem-solving and conceptual skills.

    Must have a proven, consistent track record showing the ability to work with all levels within an organization.

    Must display a high level of energy and self-motivation.

    Ability to work independently or in a team environment and maintain collaborative relationships with all members of the team.

    Broad business savvy, with a solid grasp of financial and operating goals. Must have a track record of achieving measurable success for meeting objectives, managing costs and achieving change.

    **WORKING CONDITIONS**

    Ability to work a flexible schedule, including nights and weekends when necessary, in order to manage and oversee designated events.

    Regular work requires a great deal of sitting, standing, lifting, bending, and stretching.

    Must be able to stand for 8 hours.

    Ability to lift and carry up to 25 lbs.

    *Must be able to work at both locations of the CIA California Campus (Copia in Napa, CA and Greystone in St. Helena, CA). Must possess own transportation in order to travel between locations during the work day as required.*
