    Position Summary

    This position provides a dynamic opportunity to develop a breadth of skills.

    Reporting to the VP of Human Resources with a dotted line to the President & CEO you will be in a unique position to provide high level administrative support to the executive team and other senior staff.

    This position requires a proactive, collaborative, and customer focused individual with an exceptional eye for detail and the ability to communicate and build relationships at all levels.

    The ideal candidate is someone who can act as the Office Manager, Executive Assistant, HR Assistant and much more

    Essential Duties


    Executive Assistant Support:

    • Assist the CEO with scheduling and calendar management, travel and expense management, timesheet and expense approvals, preparing correspondence, presentations and reports, and ad hoc requests.
    • Assist the Board, CEO, and Corporate Secretary by coordinating Board meetings and strategic planning sessions, advisory and shareholder meetings, management meetings and retreats, business license renewals, etc.
    • Provide administrative assistance to various leaders and teams by coordinating travel, events, lunches, gifts, client engagement, and other duties as assigned.

    Office Management Support:

    • Serve as office manager and primary point of contact for building personnel and key vendors.
    • Provide daily operations and facilities support through space management, new hire set up, equipment procurement, and ordering/maintaining supplies.
    • Provide lunch coverage and back-up support to the reception area by greeting and assisting clients and guests, answering phones, and managing deliveries.
    • Serve on the Safety Committee, including scheduling meetings, developing agendas, and coordinating Go Bag program

    Employee Experience Support:

    • Coordinate all-staff meetings, team lunches, team building events, annual holiday calendar, etc.
    • Coordinate employee recognition programs and gifts, including awards, birthdays, and milestone anniversaries.
    • Serve as an active member of the Employee Engagement Committee supporting the group with planning and executing events
    • Assist with employee onboarding, offboarding, and other duties as assigned.
    Requirements


    • Bachelor's degree or equivalent combination of relevant education and experience
    • Experience working with or supporting a CEO and Board of Directors preferred
    • Demonstrated ability to collaborate effectively with diverse stakeholders, be entrusted with confidential information, and work with an elevated level of integrity
    • Exceptional verbal and written communication skills, including the ability to interact professionally with customers and coworkers
    • Excellent organizational and time management skills
    • Competency with Microsoft Office products including Word, Excel, and Outlook
    • Ability to work with little to no supervision while performing duties
