- Assists with processing contracts and change order intake requests, reviewing contract requests and bid evaluations for completeness and accuracy,
- Responsible for distributing contract documents for approvals and signatures.
- Ensures contract related information are recorded and tracked while managing the electronic storage of contract documentation.
- Responsible for facilitating vendor credentialing by assisting vendors with compliance requirements.
- Responsible for processing invoices and managing vendor payments.
- Assists generating change and purchase orders, reviewing bid evaluations and assisting in reporting.
- Ensures budget revisions and internal changes orders are executed properly
- Ensure good working relationships with vendors, suppliers and contractors.
- Adhere to all local, state and federal laws including all laws governing Fair Housing. Comply with company policies and procedures, including standards of performance (SOPs).
- Establish and maintain good relations with residents, prospective residents, all customers and co-workers.
- Communicate in a courteous and professional manner at all times.
- Assist with ad hoc projects and other duties as assigned.
- Associates or Bachelor's Degree in business management or similar, or relevant job experience.
- Ideally 1-3 years of experience in construction, contract, or real estate administration.
- General knowledge of processes, budgeting, accounts payable, and document management; General knowledge of architectural and MEP plan development, and the ability to understand construction documents.
- Proficiency in Microsoft Office (Word, Excel, SharePoint, and Outlook) programs.
- Communication - This position requires exceptional verbal and written communication skills. The position will be expected to discern and convey relevant information in a professional and timely manner.
- Leadership - A strong sense of initiative and an ability to oversee and provide directive to contractors and vendors are characteristics essential to the position.
- Ethical Behavior - Transparency, attention to detail and forthright communication are required. Must work in accordance with company standards and federal/state regulations.
- Efficiency - Excellent time management and prioritization skills are necessary.
