    H4 Enterprises LLC Is seeking an administrative officer with three or more years of Administrative or Office Management experience processing program information, documents and/or materials. Candidate must have the ability to resolve and/or develop recommendations for standard and unprecedented issues and problems. The successful candidate will report to the on -site Project Manager and coordinate directly with the H4 Enterprise Human Resource Office in administering a variety of business and/or fiscal functions for the State Facilities Maintenance Contract.

    Key Responsibilities:

    • answer and direct departmental phone calls.
    • act as the point of contact for all employees, providing HR and administrative support managing their queries.
    • receive, and distribute office e-mails.
    • schedule and organize appointments and take minutes of departmental meetings.
    • prepare purchase orders for office supplies.
    • process required paperwork for employee hiring, transfers, changes in job classification, and other related employment matters.
    • gather readily available information from office records to draft, compose and proofread for grammar, spelling, punctuation, and basic formatting e-mails, memos, and other documents.
    • assist the Project Site Manager in developing and implementing appropriate policies and procedures.
    • assist in reviewing and proposing changes to internal controls.
    • assist with preparation of human resource reports such as payroll/timekeeping and attendance, new hire, and turnover reports, and as needed.
    • explain policies, procedures, and expectations to existing and new employees.
    • all other tasks assigned.

    Qualifications and Experience

    • Proven work experience as an Administrative Officer, Administrator, or similar role
    • Solid knowledge of office procedures
    • Experience with office management software like MS Office (MS Excel and MS Word, specifically)
    • Strong organization skills with a problem-solving attitude
    • Excellent written and verbal communication skills
    • Attention to detail.
    • High School diploma with three or more years of administrative or office management experience (preferred)
    • Bachelor's degree (a plus)
