    Payroll & Benefit Specialist


    Location:
    Park Ridge


    Reports to:
    Senior Vice President, Director of Human Resources


    The HR Generalist-Payroll Specialist administers the activities relating to payroll and HRIS processing including developing, implementing and monitoring (e.g., performing internal audit and control procedures to ensure that all wages and taxes are accurate).

    The individual will be the company's subject matter expert with all payroll, compensation and HRIS administration.


    Essential Duties and Responsibilities:

    Payroll:
    Consistently & accurately process bi-weekly payroll for 175+ employees

    Review timekeeping system timesheets for completeness and accuracy to ensure wages and benefits are properly recorded.

    Enter any payroll changes-new hires, adjustments, benefits and terminations. Ensure that all such changes have the appropriate documentation and approvals.

    Balance payroll, completing all payroll GL entries for Accounting.

    Produce reports and prepare spreadsheets for management.

    Research, analyze, and resolve all payroll issues and discrepancies, reporting issues to management.

    Evaluate and implement payroll/HRIS systems upgrades and changes.

    Ensure accurate taxation, garnishments, child support, etc. are applied.

    Assist with Audits, gathering information and preparing any requested reports.

    Reviews prepared quarterly tax reports from payroll vender and tax filings.

    Assists with Benefits including Medical, Dental, Vision enrollments as well as enrollments for STD, LTD and Life insurance.

    Assists in annual Benefits Open Enrollment process.

    Assist in the development of a comprehensive compensation program. Will update and maintain as needed, keeping abreast of current market salary data.

    Assists the HR department in other duties as needed.


    HRIS Administration:
    We are in the process of digitalizing our HR files.

    Will maintain electronic employee personnel files, records and other documentation for employees, including processing new employees, forms for employment status changes and maintaining timely and accurate files.


    Prepares statistical summaries and reports from the HRIS involving payroll information, performance management, demographic data and other employee data, requiring knowledge of the various Human Resources disciplines.


    Assists to maintain data integrity in systems by running queries and analyzing data and reviewing source documents for accuracy and completion of data input.


    Generates files/reports such as the EEO1/Vets 100, annual non-discrimination testing for benefits plans, annual reports, as well as other special and ad hoc reports as requested.

    Recommends business process improvements having an HRIS component.


    Benefits:
    Will assist in the administration of all employee benefit enrollments, changes and terminations.

    Fulfills all governmental regulatory mandates and ensures filings are performed as required.


    Plans, conducts and reports results of audits to ensure all enrollments are accurate and that dependent information is correct for each employee and works closely with Accounting for quarterly and year end audits (payroll, Workers Comp, 401k, etc.).

    Insurance invoices/payments-reviews, audits and secures payment.

    Administers COBRA enrollments/changes.

    Responds to and manages unemployment claims and workers compensation claims.

    Administrative Duties to Assist the HR Department:

    Audit requests.

    Employment verifications.

    Record retention-organization and storage of paper and electronic files.

    Maintains compliance with federal, state and local regulations concerning payroll and benefit topics.

    May perform other duties as assigned or required.


    Qualifications:
    All duties and responsibilities must be performed in compliance with applicable local, state, and federal regulatory guidelines.

    Two or more years of hands-on payroll experience with one or more payroll systems (Paycor preferred).

    Proficiency in computer skills, including Microsoft Excel, Word and Office,

    Exceptional interpersonal and communication skills, both verbal and written.

    Ability to manage multiple tasks and projects, and the flexibility to accommodate changing priorities.

    College-level accounting, HR coursework or equivalent experience preferred.

    Special projects as needed.

    Education and Experience

    Excellent working knowledge of applicable employment law, and payroll law, FMLA and COBRA administration, and NLRB rules and guidelines.

    Good working knowledge of ERISA and benefits administration requirements.

    Intermediate skills with Microsoft Office, including the use and creation of Pivot Tables.

    Excellent organizational skills.

    Excellent interpersonal skills, and the ability to work with all levels of management.

    Demonstrated respect for confidentiality and discretion when working frequently with sensitive issues.
