    Summary of Job Duties:

    The Administrative Specialist III is responsible for various tasks that ensure the Office of Health Services functions effectively and efficiently. As the first point of contact for the clinic, the Administrative Specialist III is responsible for maintaining a professional, customer-friendly environment where patients feel comfortable. The incumbent will greet and help patients check in, complete required forms, and answer questions. In addition, the Administrative Specialist III is responsible for answering a multi-line telephone; scheduling appointments using the electronic health record system (EHR), Medicat; verifying insurance benefits; and submitting insurance claims to the third-party insurance billing provider. Understanding HIPAA regulations and patient confidentiality is essential to this position. This position is governed by state and federal laws and agency/institution policy.

    Qualifications:

    Required Education and/or Experience:

    • The formal education equivalent of a high school diploma, plus one year of specialized training in business management, business education, or a related field;
    • Two years of experience in a specialized or related field applicable to work performed.

    OTHER JOB-RELATED EDUCATION AND/OR EXPERIENCE MAY BE SUBSTITUTED FOR ALL OR PART OF THESE BASIC REQUIREMENTS.

    Preferred Education and/or Experience:

    • One year's experience in an administrative position in a healthcare or business office setting;
    • Prior experience with an electronic health record system, UA Little Rock software applications such as Banner and BOSS, and verifying insurance benefits.

    Job Duties and Responsibilities:

    • Represent Health Services both in person and on the phone in a professional manner;
    • Provide polite, prompt, and helpful assistance to students, employees, and visitors;
    • Answer a multi-line telephone, take detailed messages, and respond to inquiries regarding clinic services, appointments, and medical record releases;
    • Manage clinic appointment schedules and details of providers' availability daily, understand appointment booking procedures, and allow adequate time for each appointment type;
    • Maintain strict confidentiality of patient information both verbally and in writing per state and federal HIPAA regulations;
    • Update and maintain confidential patient records in the EHR system;
    • Follow office protocols to secure the reception area;
    • Verify health insurance benefits;
    • Submit claims to the third-party insurance billing provider;
    • Train hourly, non-clinical staff to assist with front desk duties;
    • Train new employees in HIPAA compliance;
    • Post charges for immunizations and labs to the BOSS account using the UA Little Rock Banner system;
    • Place and remove holds in BOSS for tuberculosis screening;
    • Input vaccine inventory and patient vaccine records into the Arkansas Vaccines for Children database;
    • Ensure all CDC vaccine information statements are current, and verify that accurate information is reflected on all vaccine administration forms;
    • Create, update, and maintain Standard Operating Procedures (SOPs) for the Health Services front desk;
    • Receive, sort, and distribute office mail;
    • Collaborate with the Business Manager to resolve issues with returned/incomplete claims;
    • Collect appropriate fees for clinic services and provide a written receipt for each transaction;
    • Reconcile departmental deposits;
    • Conduct an annual equipment inventory;
    • Monitor and respond to emails sent to Health Services;
    • Manage audits for insurance companies and submit the data online;
    • Perform other duties as assigned.​

    Knowledge, Skills, and Abilities:

    • Knowledge of applicable state and federal HIPAA laws and regulations;
    • Experience with UA Little Rock software applications such as Banner and BOSS and posting charges;
    • Exceptional customer service and interpersonal communication skills;
    • Excellent time-management skills;
    • Knowledge of computers and software applications;
    • Excellent data entry skills with a strong track record of accuracy and efficiency;
    • Knowledge of filing and recordkeeping procedures;
    • Knowledge of basic accounting principles.
