    Description

    SUMMARY
    The Director of Purchasing supports the resort in all aspects of purchasing to ensure quality and profitability. Oversees daily procurement, storage, and issuance of hotel food, beverages, and supplies. Acts as the primary buyer, obtaining price quotations for all purchases. Responsible for following established procedures in ordering, receiving, storing, distributing and payment of items. Formulates an approved vendors list encompassing all categories. Calculate figures of food inventories, orders and costs. Maintain clear and organized records to ensure all reports and invoices are filed and stored properly. Post invoices using computer programs. Conduct inventory audits to determine inventory levels and needs. Complete requisition forms for inventory supplies. Notify manager/supervisor of low stock levels. Verify, track and received inventory and complete inventory reports and logs. Refuse acceptance of damaged, unacceptable, or incorrect items. Troubleshoot vendor delivery issues and oversee return process. Adhere to food safety and handling policies and procedures across all food related areas. Monitor PAR levels for all food items to ensure proper levels.

    ESSENTIAL FUNCTIONS

    • Monitor vendors for quality, service and price through standard purchasing specifications
    • Obtain competitive quotations for hotel requirements and ensure that the best products are sources and purchased.
    • A minimum of three independent genuine quotations must be obtained.
    • Established contracts to ensure to ensure reduces pricing for all operating areas of the resort
    • Receives market list from Executive Chef on a daily basis and arranges for delivery of the items daily.
    • Ensures that all orders receiving dates are updated by the buyers according to the suppliers promised delivery dates.
    • Assists in the receiving and storage process of all orders
    • Conduct monthly inventory
    • Ensures all authorized or approved purchase orders are sent to their respective suppliers/vendors for delivery purposes on a daily basis.
    • Ensures and verifies that quotations are regularly updated, and suppliers new current price lists are maintained.
    • Ensure the efficient operation of the Purchasing Department in all aspects.
    • Research and identify new products and services for the resort in the market.
    • Obtains written approval for established minimum/maximum stock levels by the Director of Finance and Executive Chef.
    • Approves all additional requests for new storeroom items, checking correct item description, unit, packing, category and establishes min/max estimated stock levels.
    • Verified all pending orders, report on a daily basis, and all pending orders are checked and verified regularly
    • Prepare the list to be cancelled orders on a daily basis and send to accounts for deletion with appropriate reasons.
    • Identifies items for standing orders utilizing vendors logistics for regular deliveries to the resort based on approved highly consumed items.
    • Ensure validity of items available, force issue obsolete items and follow up on action taken for disposal.
    • Verifies that all documentation and proper quotations are maintained and filed according to Policy and Procedurdes.
    • Approves all storeroom re-order requests, verifying quantities within the established Min/Max stock levels.
    • Responsible for all purchasing functions, quotations, quality and availability.
    • Responsible for physical control of all store items until issued, fully documented under strict control procedures (key control, timing schedule, authorized issue requests).
    • Responsible for maintaining logical storeroom inventory levels operationally needed.
    • Spot checks storeroom requests if properly maintained, verifies quantity requested and issued, proper items received by signatories.
    • Spot checks entered system quotations, period validity quotes locked by, etc...
    • Ensures that the suppliers follow the rules relating to the hygiene of goods delivered.
    • Keeps all records in a way that they can be checked at any time for information and audit purposes.
    • Maintains all documents, files and listings up-to date and performs duties in the most efficient manner.
    • Willing to work flexible schedule in order to accomplish all major responsibilities and tasks.
    • Perform other duties as management requested to service our guests.
    Requirements

    QUALIFICATIONS
    Required

    • Minimum of 3 years of previous purchasing experience, preferably in F&B hospitality industry
    • 4-year bachelor's degree preferred in business related major.
    • Prior working experience in a 5 star/5 diamond hotel
    • Strong negotiating and closing skills required
    • Demonstrated ability to develop negotiation strategies for complex activities.
    • Consistently offer professional, engaging and friendly service.
    • Physical demands.

    • Frequent or occasional need to perform the following physical activities
    :

    reaching, bending, pushing, pulling, twisting, lifting, and climbing. Have frequent need to perform standing and walking activities related to inspecting property.

    • Constant need to perform the following physical activities
    :

    grasping, turning, finger dexterity, kneeling, squatting, lifting heavy loads.

    • Frequent need to move about for long periods of time.
    • Lifting/carrying up to 50 lbs. frequently.
    • Vision requirements
    :

    constant need to view small print. Frequent need to see small details and things clearly beyond arms' reach.

    • Hearing requirements
    :

    constant need to speak on telephone and/or two-way radio, respond to general public and converse with staff. Ability to hear fire alarms and emergency equipment.
