Description

Duties:


  • Serves the Office of the Director by receiving and screening highvolume calls to the main phone line of the agency, mail deliveries and visitors. Serves as the initial internal and external point of contact for visitors in the office.
  • Retrieves information by utilizing internal databases to obtain administrative data, program office contacts and program support service data.
  • Serves as the central resource person for implementing and maintaining office control systems, such as those for the location, arrangement, access to, and use of office files, and for maintenance, transfer, and disposition of records.
  • Develops and implements an automated correspondence status and tracking system which quickly locates and reports the status of any given piece of communication.
  • Evaluates and advises on procedures for providing office administrative support. Recommends changes in administrative practices and services as the source of information on administrative procedures.
  • Provides the manager or supervisor with the necessary information needed to make decisions on the administrative aspects of the organization operations and management.
  • Reviews incoming mail and correspondence for the Director's suite. Maintains accurate mail sorting and distribution of confidential packages, accurately tracking documents ensuring timely completion of actions and deadlines.
  • Reviews nontechnical materials prepared by others for grammar, punctuation, spelling, and clarity of expression. Performs special projects such as assembling reports and publications into finished, and comprehensive documents.
  • Performs administrative and clerical support functions, coordinating with subordinate units to implement office procedures throughout the organization.
  • Coordinates with individuals inside and outside of the organization to determine the appropriate staff members for handling technical inquiries.

  • May be required to successfully complete a one year probationary period (unless already completed).

  • This is not a virtual or remote position; you must live within or be willing to relocate within a commutable distance of the duty location which is Washington D.C. (District of Columbia).

Qualifications:


Proficiency Requirement for GS-05 and GS-06 positions:This position requires the ability to type at least 40 words per minute.

_Qualifications for the GS-05 Position_

To be mínimally qualified at the GS-05 entry grade level, applicants must mínimally have:One year of specialized experience equivalent in level of difficulty and responsibility to that of the next lower grade (GS-04 or equivalent in other pay scales) within the federal service, which demonstrates the ability to perform the duties of the position, is required.

Specialized experience is defined as:
Having administrative and clerical experience performing general administrative office and clerical duties and activities to include
all the following:

  • Customer Service
  • Greet visitors or callers in an office or business environment and handling their inquiries or direct them to the appropriate persons according to their needs.
  • Customer Service
- Answering telephones and give information to callers, take messages, or transfer calls to appropriate individuals.

  • Demonstrative knowledge of customer service best practices.
  • Reviewing incoming mail and correspondence for distribution to the appropriate office or individual in an office or business environment.
  • Scheduling and confirming appointments for clients, customers, or supervisors.
  • Using computers to create, maintain, and enter data or information into a database software program.
  • Managing files or records for an office, department, or organization using an electronic filing program or database.
  • Proficient in using Microsoft (MS) Office (specifically MS Word, MS PowerPoint, and MS Excel).
  • Strong reading comprehension. Understands or comprehends written sentences and paragraphs in workrelated documents or instructional materials.
