    This is a hybrid position. Work will be performed from home, in the Sail Baltimore office and at event sites as required. Must be on site at the event headquarters from June 10-19, 2024 for setup, event production and closeout.

    Overview

    Provides support to the Executive Director, Water Logistics Committee Chairman, Festival Director, and Sail Baltimore stakeholders as assigned to execute responsibilities as outlined below for Maryland Fleet Week and Flyover Baltimore and concurrent Sail Baltimore events.

    You will work under the direction of the Executive Director and in close coordination with the Sail Baltimore and Fleet Week event core group committees.

    Sail Baltimore is providing ship logistics and hospitality along with Festival and land-based event support for Fleet Week and Flyover Baltimore 2024.

    Sail Baltimore is Baltimore City's Official Visiting Ships Host Committee and have worked in this capacity since 1975.
    Essential Job Duties

    Overall support for Sail Baltimore and Fleet Week Events.

    Exercise discretion and independent judgment with respect to tasks related to Maryland Fleet Week and Flyover Baltimore and other Sail Baltimore programs as assigned.

    Under direction of the Executive Director, work as part of the Sail Baltimore team to maintain and execute strategy, tactics, plans, programs, documentation, and communication in support of our mission.

    ·


    Work as a key component to the Sail Baltimore team in the management, monitoring, planning, operations and implementation of events from preparation and set up through tear down to ensure adherence to planned format, compliance to scope of work, permit requirements, budget, administrative requirements and special taskings.

    Specific duties associated with Water Logistic Committee support:



    Work with the Waterways Committee Chair (WCC) to prepare and communicate a vessel berthing plan that: 1) Prioritizes safety; 2) Maintains commerce in the Port of Baltimore; and 3) Achieves event goals.



    Work with WCC to determine point(s) of contact for each ship and establish protocols to follow in communicating with ships.



    Work with WCC to create a clear communications protocol and radio etiquette plan to coordinate communications with Emergency Management and other agencies.



    Maintain Water Logistics committee roster; schedule, attend and document all Water Logistics committee meetings; these meetings are held monthly on the third Wednesday of the month at 11am (hybrid meeting schedule).


    Serve on the Event Planning Committee (EPC) for Fleet Week.

    Attend, document, and support briefings organized by lead event manager Living Classrooms Foundation (LCF), the US Navy, and other agencies as part of the planning and execution of the event.

    Planning Conference dates are January 24 & 25, 2024 and April 10 & 11, 2024.

    Update Fleet Week 2022 "Captain's Handbook" and make it available to key stakeholders.

    Work with local, state, and federal law enforcement and other Fleet Week-related security.


    With direction from the Sail Baltimore management team – recruit, train and manage Sail Baltimore vessel liaisons and alternates for each ship.

    These are high-level, concierge-style volunteers, most of whom are already connected to the project via Sail Baltimore.


    In consultation with Living Classrooms Foundation (recruiting general volunteer support), coordinate all additional Fleet Week volunteers including onboarding, training, food vouchers, parking, assignment of specific roles, and after-action reporting.



    Coordinate General Public Visitation (GPV) of Ships from June 12-18, 2024, including recruitment and management of volunteers to manage GPV line management.

    Track Ship-Specific Visitation (SSV) requested by individual ship commands and any Education Group Visitation (EGV).


    Coordinate with the US Navy transportation lead and all visiting ship commands for crew transportation to and from piers designated for Fleet Week use for scheduled events such as sports day, community outreach, entertainment and any other officially designated activities.


    Assist in directing Sail Baltimore volunteer vessel operators in support of waterborne transportation.
    Skills required.

    Flexibility, positive and professional attitude, and unquestioned work ethic.

    2-3 years of special event planning or similar experience.

    Strong organizational skills.

    Strong written and verbal communications skills.

    A knack for problem-solving.

    Customer-service orientation.

    Be a collaborator/team player.

    Computer skills including Microsoft Office and Adobe Acrobat. Maintain the ability to learn new applications as needed.

    Experience in maritime industry preferred but not required. We can teach you the language of the maritime industry.

    Current Maryland driver's license and active automobile insurance.

    Education Requirements
    BA or BS degree preferred but can substitute hands-on experience.

    Contract position for defined term, April 1
