The
_Technical Support Officer_ will work in close collaboration with MOMENTUM Country and Global Leadership (MCGL)'s FP Team, including the FP Director, Technical Manager, Program Officer, Technical Advisors, and Sr.

Program Coordinator, to provide program support in the areas of family planning and gender with a wide range of potential activities, including supporting MCGL's postpartum family planning (PPFP) and hormonal intrauterine device (IUD) activities and global learning agenda, as well as evaluation of the integration of gender into efforts to improve client-centered, quality care across RMNCAH.


The
_Technical Support Officer _will manage day-to-day planning, development, and execution of projects within MCGL's FP team, and ensure strong collaboration between headquarters and field teams, as well as partners external to the organization.

The
_Technical Support Officer_ will also support the MCGL Senior Management team with overall program management duties assigned by the Senior Portfolio Manager.


Responsibilities:


Departmental Management

  • Drafts presentations, plans, reports and documents for review. Addresses feedback to finalize.
  • Monitors and highlights relevant organizational deadlines and drafts routine reports and other deliverables.
  • Establishes processes and timelines for MCGL to complete deliverables, sends clear communications regarding the process/timelines, develops templates to efficiently collect inputs from across MCGL technical teams and monitors and follows up on completion.
  • Develops agendas, presentations, and provides overall management support for MCGL internal events, workshops and trainings.
  • Support with reporting and work planning as needed.

Technical Team Management

  • In close collaboration with FP Director, support daytoday management of FP technical team.
  • Draft updates on the status of FP team workplans an budgets for routine check in meetings and annual development process. Develops internal timelines for FP technical team members to provide inputs and consolidates and addresses feedback.
  • Liaise with FP technical staff to compile and review technical inputs for semiannual, annual, and ad hoc donor and other internal and external technical reports across the FP portfolio, including working closely with consortium partners.
  • Liaise with FP and country monitoring, evaluation, and learning advisors to support the development of data visualizations for reports.

Conferences and Workshops

  • With FP and Gender Directors, manages the implementation of Jhpiego's presence at medium or large global family planning events and gender training workshops.
  • Works closely with technical staff to ensure activities planned are in accordance with Jhpiego's conference participation and event management guidelines and proactively addresses any challenges.
  • Manages budget for conference/workshop, tracks expenses, and ensures costs do not exceed budget. Flags budget or spending concerns.
  • Develops and manages processes for tracking, reviewing and finalizing abstracts and list of conference participants, including communicating goals and objectives to staff, developing and managing timelines for internal abstract submission, following up and communicating with staff regarding their abstract, and editing abstracts to clearly convey results and impact.
  • Supports development of impactful presentations and posters, including coordinating with country staff, editing and technical experts and ensuring proper branding, in close consultation with the MCGL Communications Lead.
  • With MCGL Communications Lead, coordinates logĂ­stical aspects of side events, coordinating with venue, securing space, organizing speaker line up, and managing required contracts.
  • Manages logistics with vendors.
  • Communicates with program management and incounty staff to manage participation from country offices, field offices.
  • Manages and tracks participant travel arrangements, coordinates visa processes, drafts invite letters. Works with program management and project support staff to put in place contracts, orders and ships supplies, processes registration feeds, hotel payments, etc. Serves as back up as needed.

Knowledge Management

  • Contributes to the establishment of processes and practices for capture and organization of knowledge, tools and products within MCGL, including the FP and gender teams.
  • Serves as point person for FP team knowledge management activities, including by participating in the design and ongoing maintenance of technical content on internal organizational websites.
  • Builds relationships across the organization to understand technical knowledge needs and preferences.
  • Works closely with Jhpiego's KM staff to ensure that the FP team actively shares technical information across the organization in innovative ways.
