We leverage a dynamic team of professionals, including external virtual assistants, to ensure our operations are efficient, effective, and client-focused.
Position Overview:
We are seeking a highly motivated and skilled Operations Manager to oversee our operations across multiple departments including talent acquisition, recruiting, training, virtual staff-client pairing and matching, and onboarding and deployment of the virtual staff.
This role demands a keen analytic mindset and proficiency in HubSpot, aimed at enhancing our operational excellence and client satisfaction.
The successful candidate will also be experienced in setting and maintaining operations-related KPIs to monitor and drive the success of our organizational processes.
Key Responsibilities:
Manage day-to-day operations across various teams such as sourcing, recruiting, training, pairing and client support.
Develop and implement strategies to optimize operational efficiency, focusing on continuous improvement in processes and performance.
Collaborate with department heads to ensure seamless integration of operations and alignment with overall business objectives.
Oversee the recruitment and training processes to build and maintain a high-performing team.
Manage and strengthen relationships with external virtual assistants, ensuring high-quality service delivery.
Utilize analytics to assess operational performance, identify trends, and make data-driven decisions for improvement.
Ensure compliance with healthcare industry standards and regulations, particularly in medical billing and revenue cycle management.
Utilize HubSpot for CRM and operational management, ensuring optimal use of its features to support business needs.
Qualifications:
People management skill set, ability to work with local and virtual/ remote staff.
Proven experience in operational management within healthcare, ideally with exposure to medical billing, revenue cycle management, or clinical operations.
Alternatively, significant experience in account management within or outside the medical field, with a demonstrated ability to manage and improve operational processes.
Proficiency in HubSpot, with a thorough understanding of its applications in operational and CRM contexts.
Excellent leadership and communication and project management skills, capable of motivating teams and fostering a collaborative work environment.
Bachelor's degree in Business Administration, Healthcare Management, or a related field is preferred.
Minimum five years of experience in the related fields.
