    Job Description:

    Our Administrative Assistants are the first point of contact for our clients and play a crucial role in the day-to-day operations of our firm. This position requires a highly organized, reliable, and professional individual who is capable of managing multiple tasks efficiently while maintaining the highest standards of customer service.

    Key Responsibilities:

    Greet clients and visitors with a positive, helpful attitude, ensuring a welcoming environment.

    Handle incoming calls and emails, providing information, taking messages, or redirecting queries to appropriate departments.

    Prepare and manage correspondence, reports, and documents related to tax preparation and other accounting services.

    Maintain filing systems, both electronic and physical, ensuring confidentiality and easy access to documents.

    Assist in the preparation of client tax documents and forms for meetings and submissions.

    Assist with scheduling appointments, managing calendars, and coordinating meeting logistics.

    Perform other administrative tasks as needed to support the team and ensure efficient office operations.

    Required Qualifications:

    Proven experience as an Administrative Assistant, Front Desk Representative, or similar role, preferably within an accounting firm or financial services environment.

    Excellent communication skills, both verbal and written, with the ability to interact professionally and personably with clients and team members.

    Strong organizational skills with the ability to multitask and prioritize work effectively.

    A self-starter with a curious mindset who takes a proactive approach to problem-solving.

    Proficiency in Microsoft Office Suite.

    High school diploma required; further education or certification in administrative services or a related field is preferred.

    Preferred Qualifications:

    Experience within an accounting firm.

    Experience with tax & accounting software tools & suites (such as CCH Axcess and Thomson Reuters Netsuite CS).

    General familiarity with technology.

    Familiarity with tax preparation and assembly processes.
