CMG Financial has a great opportunity for an entry level administrative assistant to work with the executive assistants who support our CEO and other executives.
Great opportunity for a new grad to join a growing company. Must be able to work onsite at our San Ramon headquarters 5 days a week starting at 7:30 AM.ESSENTIAL DUTIES and RESPONSIBILITIES, includes the following responsibilities, but not limited to:
- Organizing, Filing, printing, scanning and shipping items.
- Occasionally driving to pick up items needed, drycleaning, etc.
- Setting up badges/seating when execs come into corporate. Calendaring and responsible for corporate visits coming into town and maintaining visit itinerary (arranging cars, lunches, dinners, etc.)
- Creating and coordinating meetings.
- CMG Anniversaries
- Maintaining up to date report on corporate anniversaries.
- Handling signature requests and ensuring it has gone through the approval process prior to providing to executives for execution.
- Conducts research, compiles and creates reports. Research will include utilizing internal software and systems and may need to contact vendors.
- Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
- Coordinates travel arrangements; completes expense reports and processes invoices; ensures that correct account codes are used and required signatures obtained.
Maintaining
executive office**:
- Keeping executive office, kitchen and training room organized and clean.
- Maintain kitchen cleanliness, ordering groceries, ordering lunches, opening and closing the kitchen each day.
- Making Breakfast/lunch and coffee for executives
PREFERRED QUALIFICATIONS AND EXPERIENCE:
- Bachelors Degree preferred
- Professional appearance and demeanor.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Programs.
- Versatility and flexibility within an everchanging environment.
- Acute attention to detail.
- Commitment to excellence and high standards.
- Ability to work on complex projects with general direction and mínimal guidance.
- Ability to deal effectively with a diversity of individuals at all organizational levels.
- Good judgment with the ability to make timely and sound decisions
- Creative, flexible, and innovative team player
- Strong organizational, problemsolving, and analytical skills; able to manage priorities and workflow.
- Ability to work independently and as a member of various teams and committees.
- Demonstrated ability to plan and organize projects.
Factors that affect base salary may include:
Education, Administrative/clerical experience, knowledge of mortgage industry, computer skills and customer service experience.
