    Description

    Under direction, performs and coordinates technical and administrative work for the Veterans resource center (VRC); receives and processes requests for Veterans Administration (VA) tuition assistance; serves as the school certifying official for the VA and resource to students, employees and the public with regard to veterans' educational benefits; serves as a liaison for students and applicants eligible for veterans' education benefits; reviews student transcripts to ensure ongoing compliance with VA requirements; processes changes in veterans' enrollment status; and performs other related duties as assigned.

    Supervision

    Works under the direct supervision of a department manager.

    Does not directly or indirectly supervise other employees but may provide work direction to lower-level employees, temporary employees, and/or student workers.
    Work Schedule
    40 hours per week, 12 months per year, Monday-Thursday: 8:30am-5:00pm and Friday: 7:00am-3:30pm

    Examples of Duties

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    The following duties and responsibilities are typical of those performed in this classification.
    • Performs and coordinates technical administrative work for the VRC.
    • Serves as the school certifying official for the VA and resource to students, employees, and the public with regard to veterans' educational benefits; responds to inquiries, provides and presents information to promote available educational and other veterans' benefits (e.g., GI Bill programs, tutorial assistance, and work-study benefits); refers students to District and community resources that provide assistance in attaining educational goals.
    • Receives and processes requests for VA tuition assistance; gathers student information and verifies eligibility to receive benefits; coordinates fee waivers with student fees and enters enrollment verification, fees waived and paid, and enrollment status changes into electronic reporting systems.
    • Serves as a liaison for students and applicants eligible for veteran's education benefits and the VA regarding qualification and receipt of benefits; disseminates information on VA education benefits, programs, and contact points; maintains an inventory of application forms for veterans educational benefits; provides guidance to veterans and dependents in completing and submitting applications; investigates delays and seeks clarification of payments from the VA.
    • Reviews student transcripts to ensure ongoing compliance with VA requirements; monitors enrollment, conduct, and progress records for students receiving VA benefits to ensure compliance with college coursework, enrollment, major, degree, unit, certificate, GPA, residency, program, and service requirements; notifies the VA of any changes in status of program eligibility or student transcripts that enable students to receive appropriate benefits.
    • Processes changes in enrollment status for students receiving VA education benefits in the student data management system and notifies the VA as necessary; ensures reports contain appropriate information to the VA for students concurrently enrolled at other colleges; completes verifications of enrollment or receives verifications of enrollment from other institutions and reports enrollment data for all institutions as appropriate.
    • Maintains secure and confidential files and records of students receiving VA education benefits including, but not limited to, copies of all VA paperwork, grade reports, and transcripts in compliance with the Family Educational Rights and Privacy Act (FERPA) regulations.
    • Compiles narrative and data-driven reports detailing enrollment of VA as well as District policies, procedures, and standards related to enrollment of students receiving VA benefits.
    • Submits catalog and requested information pertaining to degrees and certificates to the VA on an annual basis for determination of which programs are eligible for benefits; maintains the Veterans Information section of the website to inform veterans of available resources and enrollment processes.
    • Coordinates marketing efforts to publicize the VRC and seeks donations to support veterans-related services; prepares marketing materials and communications including posting information to social media sites.
    • Coordinates visits from VA compliance survey specialists; provides requested data and documents in accordance with policies, regulations and procedures.
    • Maintains the security and physical appearance of the VRC.
    • Recommends changes or adjustments to VRC policies and procedures as needed; ensures students are notified of relevant changes.
    • May provide work direction to lower-level employees, temporary employees, and/or student workers.
    • Performs other related duties as assigned.
    Minimum Qualifications

    MINIMUM QUALIFICATIONS

    The education, training, and experience qualifications are considered likely to provide the required knowledge and abilities to perform the above essential duties.

    Education and Experience

    Associate's degree or equivalent from an accredited college or university.

    Three (3) years of clerical or office administrative experience, including experience coordinating veterans' benefits and services in an academic setting.

    Ability to:
    • Determine student eligibility for VA benefits and services.
    • Operate student data management software.
    • Organize and coordinate program-related events and activities.
    • Gather, organize, and disseminate information about veterans' resources, services, and programs.
    • Verify enrollment information against established criteria for educational programs.
    • Research, apply, and explain the laws, regulations, policies and/or procedures applicable to areas of assignment.
    • Operate a variety of office equipment including computers and printers/copiers.
    • Utilize standard office software (e.g., email, word processing, and spreadsheet software).
    • Prepare reports, correspondence and other documents using multiple business formats.
    • Maintain hard copy and electronic files and records.
    • Prioritize work and complete assignments accurately and within established deadlines.
    • Provide and obtain detailed information to/from others.
    • Provide customer service with a high level of sensitivity, tact and patience.
    • Exercise reasonable judgment in performing job duties.

    PHYSICAL AND MENTAL STANDARDS

    The following physical and mental standards are identified as necessary to perform the essential duties and responsibilities. However, reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions of the position.
    • Mobility: frequent sitting for long periods; occasional kneeling, crouching, pushing, pulling, standing and walking; occasional reaching above and below desk level.

    Additional Information

    Salary
    The Veterans Resource Center Coordinator classification salary range is currently R-31.

    Starting salary: Step 1 $5,034.44 to Step 3 $5,550.49 per month, based on training and experience.

    Salary range: Step 1 $5,034.44 to Step 10 $7,958.84 per month (including longevity steps)
