    Position: Impound Specialist

    Department: Network Location: Boca Raton, FL

    Position Summary:Vendor Support Specialists are responsible to ensure that all support functions in regards to our provider networks are handled in a timely manner. The VSS is responsible for coordinating, developing, and maintaining all facets of damage related issues and administration. This position is also responsible to handle all supplement approvals, PO Issues, accounting related items to the network, as well as the Impound Retrieval for the Avis process. This position will be an integral, logistical, and administrative support role for the Network Support role and reports to the Supervisor.

    TITLE OF POSITION: Vendor Support Specialist/Impound Specialist

    Duties and Responsibilities:
    • Maintain accurate records of service provider files
    • Responsible for all inbound calls in the provider support line
    • Responsible for sending out provider mails (contracts, applications, updates and changes)
    • System Clean-up: Identifying service provider's removals for various reasons
    • Study and recommend process improvements to enhance performance of the team.
    • Assist in all group projects as they present themselves.
    • Manage daily responsibilities effectively and efficiently to successfully meet all deadlines.
    • Manage interaction with insurance carriers and get updated insurance information to meet compliance standards.
    • Be aware of Company Service policies with different clients and communicate to Service Provider's when necessary.
    • Maintain provider files in order to ensure accurate status on file.
    • Demonstrates highly refined customer service skill sets.
    • Excellent telephone, oral and written communication skills.
    • Organizational skills, attention to detail and the ability to manage time wisely.
    • Adheres to departmental phone schedule and ensures that all requests are handled in a timely manner
    • Ensure contracts, vendor information, damage administration, insurance updates and incoming calls are performed in a timely manner meeting compliance requirements.
    • Manage Impound calls for Avis through the provider portal
    • Approve and process all network supplements provided by our provider network
    • Assist in the review and processing, along with the investigation of all damage claims
    • Ensure COIs are updated along with W9 forms for all providers
    • Respond to the vendor support alerts through the system
    • Ensure accuracy of all service providers information is imputed with Tax ID
    • Assist with vendor-payable issues and research as needed
    Education and Work Experience:
    • High School Diploma
    • Some College Preferred
    • Microsoft Office
    • Web based applications
    Knowledge and Skills :

    • Excellent interpersonal skills
    • Proficient computer skills: must have working knowledge of Excel and Word,

    • Strong attention to detail
    • Ability to identify discrepancies and take initiative to research variances and correct
    • Must be very proficient with inbound and outbound calls
    • Must have excellent analytic skills
    • Provide support to the Regional Field Managers and their regions
    • Present a professional and welcoming environment for internal and external customers
    • Understand and operate in accordance with Company Policy and Procedures at all times
    Hours Required: 40 hours per week. Mon-Fri Some weekends some travel
