    Description
    SUMMARY: Streamlines Accounting Services Department policies and procedures, primarily focusing on software administration, consulting, assigning work, and overseeing key administrative functions while providing technical expertise by performing the following duties.

    DUTIES AND RESPONSIBILITIES:

    Software Administration
    • Manages and administers accounting software used by the firm.
    • Ensures all software is up-to-date and liaise with IT support and vendors for any technical issues.
    • Serves as primary contact for vendors and coordinates due diligence for software evaluation.
    Consulting
    • Utilizes expertise in accounting software to consult with other departments and clients on system setup and features.
    • Provides training and support to staff on new software features and updates.
    • Provides Tier 1 technical support to staff.
    Work Assignment Coordination
    • Assigns new accounting tasks and projects to staff based on capacity and expertise.
    • Monitors work progress and provides support to staff to ensure timely completion of tasks.
    • Facilitates communication between team members to ensure seamless project execution.
    Administrative Oversight
    • Oversees the preparation of engagement letters, ensuring accuracy and compliance.
    • Coordinates client billing processes, including invoice generation and follow-up.
    • Maintains organized digital and physical records of all accounting services documentation.
    • Trains and assists Clerks and Staff Accountants with job duties and responsibilities.
    • May travel to client offices and train the client's bookkeeper and/or implement controls and record-keeping systems.
    COMPETENCIES:
    • Ability to train new Accounting Services Clerks and Staff Accountants.
    • Ability to communicate well with others on staff as well as clients, both orally and in writing.
    • Ability to manage workload and deadlines while delegating appropriately.
    • Able to deal with competing demands and frequent change.
    • Exhibits sound and accurate judgement.
    • Must be well organized, detail oriented and thorough.
    • Must be dependable with good time management skills.
    • Ability to work both independently and as part of a team with professionals at all levels, exhibiting strong interpersonal skills.
    SUPERVISORY RESPONSIBILITIES:

    This job has no supervisory responsibilities.

    Requirements

    QUALIFICATIONS:

    To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and or ability required.     Education and/or Experience:

    Bachelor's degree in Business Administration, Accounting, or a related field. Minimum five years full charge bookkeeping experience required, including payroll experience, preferably within a CPA firm. Strong understanding of accounting principles and practices.

    Computer Skills:

    To perform this job successfully, an individual should have proficiency in Accounting software and Microsoft Office Suite, including Word and Excel. Advanced QuickBooks certification required. Proficiency with office equipment, computer hardware and peripheral devices.

    Firm Culture/Client Service:

    Promotes the firm's culture, including supporting Heard, McElroy & Vestal's philosophy of developing a relationship with each client on a personal level, catering to their specific needs.

    Ability and judgment to interact and communicate appropriately with other employees, clients and management. Ability to serve clients, both internal and external (community/public) in a manner that will support superior client relations.

    Physical Demands/Work Environment:

    While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee is frequently required to walk or use hands to finger, handle, or feel. The employee is occasionally required to stand; reach with hands and arms and stoop, kneel, crouch or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision and ability to adjust focus. The noise level in the work environment is usually quiet.
