- Efficiently oversee all aspects of office operations, ensuring seamless supply ordering and maintaining optimal organization within the Orlando offices.
- Proactively manage inventory of essential office supplies, including paper, letterhead, and kitchen items, to support smooth daily operations.
- Diligently handle mail sorting and distribution for various departments, ensuring timely and accurate delivery.
- Take ownership of updating and maintaining the Natus Finance Sharepoint site, facilitating smooth communication and collaboration within the team.
- Spearhead the planning and execution of engaging company events, fostering a positive and cohesive work environment.
- Manage all aspects of the Concur travel system, including setting up new accounts, resolving user issues, and implementing updates to the travel policy to ensure compliance.
- Serve as the primary administrator for company credit cards, overseeing transactions and ensuring adherence to financial policies.
- Provide backup support for the European Travel accounting team, ensuring continuity and efficiency in travel-related financial processes.
- Coordinate and complete the annual Sunshine Reporting to CMS, demonstrating meticulous attention to detail and compliance with regulatory requirements.
- Take ownership of month-end booking and reconciliation tasks for Concur and Credit Card expenses, ensuring accuracy and timeliness in financial reporting.
- Facilitate the seamless processing of purchase requisitions for the Finance team, streamlining procurement processes and supporting efficient operations.
- Generate comprehensive reports from multiple systems, consolidating data to provide actionable insights and support informed decision-making within the organization.
- Bachelor's degree (or equivalent education and experience considered)
- General proficiency in PC computers and MS Office Suite (Excel, Word, PowerPoint)
- Basic math skills and excellent written communication abilities in English.
- Minimum 3-5 years of bookkeeping or accounting experience.
- Minimum 3-5 years of office management/administrative support experience.
- Experience supporting internal customers to resolve issues.
- Experience managing vendor relationships.
- Ability to speak Spanish.
- Experience with Oracle EBS.
