    Administrative Assistant

    Job Summary:

    Under the general direction of Mike and Cathy, the Administrative Assistant performs a variety of clerical, administrative, and accounting tasks for the firm. This role includes preparing documents, handling accounts receivable, managing insurance company web portals, and providing support to various departments.

    Principal Duties & Responsibilities:

    Accounting and Financial Support:

    • Handle all Personal and Commercial Direct Bill Commission statements.
    • Handle all Employee Benefits transactions for our partner Salus Group, including working with Producers on Activity.
    • Review Customer Aged Receivables and follow up with Producers on old items.
    • Process Monthly Accounting Reports.

    Licensing and Administrative Support:

    • Maintain Company and Individual Licensing Documents.
    • Support the Risk Control and Claims Department with administrative tasks.
    • Act as the receptionist, transferring incoming calls to the appropriate department.
    • Support the Partners with administrative tasks, including travel support, expense reports, and meeting scheduling.
    • Work with key stakeholders to promote Guy Hurley's social media presence using LinkedIn and the website.

    Office Management and Coordination:

    • Responsible for ordering supplies for the office and supporting the coordination of agency events.
    • Maintain Printer/Copier Maintenance Contracts and scheduling.
    • Shared duties with Part-Time Administrative Assistant - Deposits, Mail, etc.
    • Back up for scheduling meetings and lunches for special occasions. Coordinates calendars of attendees, plans and orders food and other supplies, makes reservations, and other arrangements as needed.
    • Processes vendor payments at the direction of the Manager.
    • Phone System Coordinator.

    Knowledge, Skills & Abilities:

    • High School Diploma or equivalent. Coursework or training in clerical/administrative responsibilities is helpful.
    • Knowledge and understanding of business and administrative procedures.
    • 1-2 years of experience in administrative functions, preferably in an insurance agency or related field.
    • Must be proficient with Microsoft Office Suite and willingness to learn software.
    • Interpersonal skills necessary to communicate effectively with a wide variety of business associates including clients, all levels of staff, vendors, etc. Must have excellent phone etiquette.
    • Excellent organizational skills.
    • Physical ability to sit for prolonged periods of time at the computer.
    • Mental ability to handle pressures related to meeting deadlines, multi-tasking, and maintaining accurate and detailed records.

    Working Environment:

    • Normal office environment with little, if any, discomfort due to heat, dust, noise, and the like. Evening or weekend work hours may be occasionally required.

    Hours: Monday-Friday, 8:30am-5:00pm
