    Inteva Products is seeking an enthusiastic and organized Executive Administrative Assistant to join our Troy team. As the Executive Administrative Assistant, you will provide comprehensive administrative support to the team and contribute to the smooth operation of our organization. Our ideal candidate thrives in a busy office environment, is an effective communicator, and is eager to bring new ideas and solutions to the table.

    Responsibilities:
    • Comprehensive administrative support to Executive team
    • Support day-to-day operations (phones, file, email distribution/flow of information and assignments, updates to Outlook contact files, etc.)
    • Active management of executive calendars including coordinating meetings, travel schedules, and ad hoc appointment changes, using independent judgment and problem-solving skills resulting in time sensitive and cost-effective decisions.
    • Provide all-encompassing support for executive-level meetings, including meeting set up, presentations, maintaining conference room and workplace standards, organizing catering, etc. in order to maintain high professional standards
    • Travel support
      • Coordination of complex and extensive international and domestic travel.
      • Travel Package preparation
      • Incoming visitor reservations as requested
    • Provide prompt and accurate expense report preparation, reconciliation, and audits for review and approval process
    • Maintain confidential files, documents, and records in an established process
    • Develop and modify presentations and communications
    • Prepare correspondence on behalf of executives as needed
    • Proactive stocking and maintenance of executive, conference room, and building supplies
    • On an as-needed bases, provide coverage and support for front desk; meet/greet guests, sign-in and direct visitors, maintain clean and professional standards of lobby area, etc.
    • Support Lead executive admin with additional tasks as assigned
    • Support ongoing continuous improvement efforts by finding opportunities to improve or update business processes
    Position Requirements
    • Associates Degree Required, Bachelor's Degree Preferred
    • Previous experience supporting C-suite executives
    • Advanced skills and demonstrated experience in Microsoft 365 (Word, Excel, PowerPoint, Outlook, SharePoint), Adobe Acrobat Pro, and Zoom video conferencing
    • Ability to maintain a high level of integrity to manage confidential information
    • Demonstrated project management skills with the ability to execute multiple projects simultaneously independently or in a team setting
    • Strong communication (written & oral) and interpersonal skills, ability to effectively communicate with many different cross functional teams
    • Ability to be flexible and handle multiple projects at once
    • Must be self-motivated, have a strong ability to prioritize workload, and comfortable being in a fast-paced environment
    • Must be available on occasion to answer/resolve issue arising outside core working hours
