    Event Coordinator - Portland, United States - Marquis Companies

    Description

    The Event Coordinator, under the direction and with the support of the Director of Intentional Culture, manages the strategy and planning of parties, fundraisers, meetings, and special events for Marquis, Consonus and Vital Life Foundation. Advises and guides business leaders on smaller luncheons, events, and fundraisers. Performs a wide variety of tasks from accounting and budgetary to creative brainstorming. Relies on experience and knowledge of industry and trends to produce not-to-be-missed, I-can't-believe-they-did-that events. Requires strong knowledge of corporate strategy and brand to create events that intentionally drive brand goals and are an authentic representation of the company. Motivates, leads, and directs the work of others within the organization, including C-Suite members.

    • Plans all details of an event including the execution of the run of show
    • Meets with vendors, venues, entertainment, caterers, etc.
    • Plans layout of event
    • Collaborates to produce collateral, signage, promotional material and any event specific collateral
    • Participates in activities to publicize event
    • Negotiate contracts, applies for any/all permitting
    • Create and manages invitee list, send invitations, manage RSVPS and accommodations
    • Keep inventory of all event-related resources
    • Under the supervision of Director of Intentional Culture creates, monitors and controls event budgets
    • Proposes new ideas via a debriefing process to improve the event, and welcomes input from team members
    • Maintains calendar of events and promotes participation internally

    • Vital Life Foundation (VLF) BridgeTown Bash annual fundraiser
    • VLF Spirit of '45
    • VLF Laughter is the Best Medicine annual fundraiser
    • Support Event planning for other minor VLF events
    • Marquis & Consonus Holiday/Employee Appreciation Events
      • Oregon, Washington, California, Illinois, Florida, Nebraska
    • Marquis & Consonus Legends & Ambassadors
    • Marquis & Consonus Leadership Meetings and Socials
    • Consonus User/Customer Events
    Interpersonal Contacts:

    The Event Coordinator will have extensive contact with Marquis and Consonus internal and external customers either on the phone or in person. On-going communication with our customers is essential and these contacts require discretion, sensitivity, calm under pressure and diplomacy at all times. This position may work autonomously or serve as the chair of an event committee, must be able to collaborate and partner with internal resources and leadership.

    Qualifications
    • Specific Job Skills Required:

      The job skills required for the Event Coordinator include enthusiasm, positive outlook, excellent communication and judgment skills, organizational skills, high attention to detail and the ability to work independently. Must have high expectations for quality. Excellent customer service, problem solving skills and the ability to meet deadlines is required. The ability to work as a team member and autonomously is essential. Must have ability to multi-task, prioritize constantly and be flexible in the fast-paced demands of the department and company. Must be resourceful with the ability to foresee and react to company needs. Must have strong negotiation skills. Strong knowledge of Microsoft Outlook, Word, Excel and PowerPoint is required.

      Education and/or Experience:
    • 2-4 years of experience in event planning.
    • Bachelor's degree preferred, but not required.
