    Event Coordinator / Project Coordinator

    Location:
    Remote, 50% travel.

    Contract: 6-12 months

    The Event Coordinator is responsible for assisting the Events and Sponsorship Manager with planning, organizing, and coordinating events to ensure they run smoothly and successfully.

    This role involves coordinating all aspects of event management, from initial planning stages to execution and post-event evaluation.

    The Event Coordinator will work closely with the Events and Sponsorship Manager, vendors, and internal teams to deliver high-quality events that meet the objectives and expectations of all stakeholders.


    Key Responsibilities

    • Assist in the planning, coordination, and execution of events, from concept to completion.
    • Communicate with vendors and internal stakeholders to secure necessary resources and support for events.
    • Coordinate event logistics including venue selection, scheduling, hotel accommodations, equipment rental, organizing materials needed pre- and post-event, and transportation arrangements.
    • Manage event budgets ensuring expenses stay within allocated funds. Monitor costs throughout the planning process and implement cost-saving measures where possible.
    • Develop strategies to attract attendees and raise awareness of events.
    • Communicate with vendors, customers, and internal teams throughout the planning and execution phases. Provide regular updates, respond to inquiries, and address concerns in a timely manner.
    • Assist with post-event activities, including attendee feedback collection and event evaluation.
    • Oversee event setup, execution, and breakdown, ensuring all aspects run smoothly and according to plan. Troubleshoot any issues that arise during the event and make quick decisions to resolve them.

    Qualifications

    • Bachelor's degree in event management, hospitality, marketing, or a related field (preferred).
    • Three to five years of experience in event planning and coordination.
    • Creative problem-solving skills and attention to detail.
    • Excellent organizational and time management skills, with the ability to manage multiple projects simultaneously.
    • Strong interpersonal and communication skills, both written and verbal.
    • Ability to work well under pressure and adapt to changing priorities in a fast-paced environment.
    • Proficiency in event management software such as Cvent and Microsoft Office suite.
    • Flexibility to work evenings and weekends as required by event schedules.
    • Willing and able to travel up to 50% of the time as required for job responsibilities.
