    Contracts Administrator - Houston, United States - American Bureau of Shipping (ABS)

    Description

    The Contracts Administrator works as a Finance Associate and is responsible for preparing, negotiating, and reviewing various company contracts, including purchases, sales, and business partnerships. They ensure that ABS' contracts comply with internal policies and external legal requirements.



    Working Schedule



    The ideal candidate for this role should be based in the Greater Houston area and be willing to work a hybrid schedule, spending three days at the ABS Headquarters Office in Spring, Texas, and two days working remotely.



    Responsibilities:

    • Support negotiation and review of contract terms with internal and external partners, analyzing agreements for potential risks and maintaining up-to-date records.
    • Review contract estimates, assess proposed materials and production costs, and ensure compliance with approved budgets.
    • Prepare various contractual documents such as Annual Representations and Certifications, Subaward Agreements, Non-disclosure Agreements, and Contract Close-out documents.
    • Distribute contractual documents, secure signatory authorization, and ensure compliance with Taxpayer Identification Numbers and Certificates.
    • Monitor deadlines and deliverables according to contract terms.
    • Assist in the invoicing process, ensuring contract terms are met for invoice preparation.
    • Clarify terms and conditions to ABS management and stakeholders to ensure policy adherence.
    • Collaborate with auditors, subcontractors, buyers, and internal teams to address contract issues.
    • Maintain organized physical and digital records.
    • Participate in project progress meetings.
    • Analyze contracts for legal compliance and stay informed about legislative changes.
    • Work with the legal department as needed.


    Requirements:



    • Bachelor's degree in Business Administration or related field.
    • Additional qualifications in law are advantageous.
    • Minimum of one year of experience in contract administration or a related field.


    Skills and Abilities:

    • Thorough understanding of contract law, accounting principles, and finance.
    • Keen attention to detail to identify contract inconsistencies.
    • Ability to manage multiple tasks, meet deadlines consistently, and prioritize effectively.
    • Excellent verbal and written communication skills.
    • Strong analytical and problem-solving abilities.
    • Capability to collaborate across all levels of management and engage effectively with team members and clients.
    • Develop familiarity with ABS Rules, Guides, statutory regulations, instructions, and the ABS Employee Safety Policy.


    Reporting Structure:



    Reports to a Manager, Director, or Executive-level position.



    Working Conditions:



    Primarily sedentary work with occasional lifting of up to 10 pounds; requires minimal force for lifting, carrying, pushing, pulling, or moving objects.
