    Benefits Assistant - Brooklyn, United States - The Brookdale Hospital Medical Center

    Overview:

    The Benefits Assistant will be responsible for processing leave of absences for union and non-union employees, determining FMLA eligibility and sending out applicable correspondences regarding the status of employee's leave of absence requests. This position also serves as a liaison between the employees, management, Health Services, and the HR department to manage the coordination of employee work restrictions and ADA accommodations. As a member of the Benefits team also supports administering all Medical Center-sponsored employee benefit plans.

    Responsibilities:
    • Manage and track Leave of Absence (LOA) process for both non-union and union population, collaborating between management, health services and payroll as needed
    • Sends necessary paperwork to employees, processes claims, and tracks time off due to all LOA including but not limited to: Workers Compensation, FMLA, Maternity/Paternity Leave, Leave Unpaid Leaves and Disability.
    • Manages Disability Programing at the Medical Center: Completes various disability forms for processing claims.
    • Manages Employee Intermittent Leaves and provides employees and management with reports and data on usage.
    • Monitors and tracks the employee portion of health benefit premiums while on unpaid leave of absence
    • Correspond with employees and management to notify of key dates and milestones during the leave of absence and create situation specific letters to employees and managers regarding time off requests, terminations, etc.
    • Ensure the timely and efficient submission of sensitive documents to internal and external clients
    • Act as point person for employees with inquiries about Leave of Absences.
    • Updates employees timecards and calculates the proper paycheck deductions for employees during leave periods.
    • Establishes FMLA claims; tracks and codes documentation in accordance with internal workflow processes.
    • Maintain employee LOA files
    • Creates maintains and distributes data and reports on LOA
    • Stays up-to-date on state and federal regulations concerning Leaves of Absences and Disability accommodations, makes recommendations to management regarding process and workflow improvement.
    • Assist the department with Benefits Administration:
      • Assist department at informational sessions on company benefits.
      • Assists employees in filling out paperwork for their benefits packages.
      • Assist department in resolving any problems or disputes regarding provision of benefits.
    • Other projects and task as assigned.
    Qualifications:

    Education:

    • Associates Degree in HR, Business or related field or equivalent experience required.

    Experience:

    • Minimum of one (1) year of experience in Human Resources/Benefits, preferably in a hospital setting.
    • Minimum of one (1) year of experience with leave administration, including ADA accommodations and benefits administration preferred.

    Knowledge and Skills:

    • Excellent oral and written communication skills.
    • Intermediate proficiency with Microsoft Office (Outlook, Excel, PowerPoint, Word).
    • Knowledge of state and federal FMLA, PFL, ADA, and Worker's Compensation regulations.
    • Must be dependable, attentive to detail, and demonstrate initiative and effective organizational skills.
    • Self-starter, motivated and proactive.
    • Is able to translate legal, medical, and insurance-related jargon into laymans terms for clarification purposes.
    • Must be able to work well under pressure and adjust to changing priorities; Can easily multi-task and manage multiple projects.
    • Is capable of reading, interpreting, and explaining disability and medical documents.
    • Exhibits ability to maintain a positive demeanor while successfully managing multiple priorities simultaneously.
    • Ability to fully utilize BHMCs electronic record systems, equipment and other healthcare and billing systems relevant to this position.

    Physical requirements:

    • Position requires prolonged periods of sitting and use of a computer and screen viewing throughout the working day.
    • Position requires prolonged periods of standing, reaching, walking throughout the working day.
    • Position will be required to stoop, bend, lift, and carry items weighing up to 25 pounds.
